We are currently seeking a dynamic and detail‑oriented individual to join our team as a Front Desk Legal Assistant. This role is an integral part of our busy law firm and is responsible for providing first class service to our clients, managing administrative tasks, and ensuring smooth operation of our front office. The ideal candidate will be a multi‑tasker with excellent communication skills and an upbeat attitude.

Candidates should be able to assist team members and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e‑mail, and generally being a helpful and positive presence in the workplace.

Responsibilities
  • Greet clients and visitors with a positive, helpful attitude.
  • Assisting clients in finding their way around the office.
  • Announcing clients as necessary.
  • Helping maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs.
  • Assisting with a variety of administrative tasks including copying, faxing, taking notes, and making travel plans.
  • Preparing meeting and training rooms.
  • Answering phones in a professional manner, and routing calls as necessary.
  • Assisting colleagues with administrative tasks.
  • Performing ad-hoc administrative duties.
  • Sorting and distributing mail.
  • Schedule appointments and update calendar.
  • Make travel arrangements and manage expense reports.
  • Maintain polite and professional communication via phone, e‑mail, and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
Qualifications
  • Experience in handling mail and managing client interactions.
  • Proficient in Microsoft Office Suite and professional telephone etiquette.
  • Excellent written and verbal communication skills.
  • Competency in handling multiple tasks concurrently.
  • Strong customer service attitude.
  • Excellent organizational skills.
  • Ability to work effectively with minimal supervision.
  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Ability to maintain a professional appearance.
  • Legal industry experience is a plus.
  • Strong interpersonal skills and a friendly demeanor.
  • Knowledge of, or the ability to quickly learn, legal terminology.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
