Job Summary

This position coordinates the administrative operations, logistics and technical support operations for the GFA Professional Education program, as well as identifying and recruiting Pro Ed clients and planning, coordinating, marketing, and executing trainings and events. Professional Education coordination activities generally include processing student enrollment, billing and registration, maintaining records and generating reports, handling correspondence and inquiries through the GFA Pro Ed email account, monitoring assigned projects, and promoting programs to prospective students.

Technical support activities generally include creating and maintaining the GFA Pro Ed registration page through event management software (Swoogo). Builds and maintains the Swoogo registration page for each semester. Regularly monitors enrollment, billing and refunds, and uploads student information to INGRESS.

Responsibilities
  • Works with Academics Coordinator on course scheduling and seat balancing.
  • Processes enrollment verification notices, final grade reports, and transcripts and distributes them to students as needed.
  • Checks and confirms student prerequisite information.
  • Provides information to callers and visitors. Responds to inquiries on the GFA Pro Ed email address.
  • Directs callers and visitors to appropriate resource persons, when necessary.
  • Contributes to website and social media postings and updates.
  • Communicates with the enrollment navigators to provide registration links and answer general enrollment questions.
  • Organizes and/or participates in outreach activities that may include communications, events, conferences, training, etc.
  • Markets and publicizes GFA Pro Ed offerings to external clients and general public, working with GFA PR firm, social media representatives, etc.
  • Contributes to special projects assigned by the Academics Coordinator or the Director of Academic Affairs, when/where appropriate.
  • Identifies and recruits external clients for professional training.
  • Plans, coordinates and executes custom trainings for professional clients.
  • Identifies and coordinates additional Pro Ed trainings, seminars, workshops and other events, including:
    Contracting instructors and content experts to develop and deliver curriculum for trainings.
  • Scheduling training sessions and events.
  • Identifying professional education opportunities with companies in tandem with existing educational events.
  • Performs related duties as assigned.
Required Qualifications
  • Associate’s degree required.
  • More than three years of experience performing clerical or administrative work in an office environment required.
  • Knowledge, Skills, & Abilities Knowledge of modern office principles and practices.
  • Must be detail oriented and organized.
  • Skilled in analyzing data and preparing reports.
  • Skilled in oral and written communication.
  • Ability to respond diplomatically to sensitive and critical issues.
  • Ability to effectively multi-task.
  • Ability to work independently.
  • Skilled in decision making and problem solving.
  • Skilled in interpersonal relations and in dealing with the public.
  • Able to be professional and discreet with private and confidential information.
  • Knowledge of computers and job-related software programs.
  • Advanced skills with Microsoft Excel and Swoogo (or similar event management programs) strongly preferred.
  • Interest in and knowledge of Georgia’s Entertainment Industry preferred.
  • Deep knowledge of workforce training for Georgia’s film and television industry preferred.
