Innovative Outsourcing is excited to partner with our client Jacobs Law, a boutique estate planning law firm, in a search for an Office Coordinator to join their team. The Office Coordinator oversees the firm's day‑to‑day administrative operations to ensure an efficient, professional, and well‑organized work environment. This role supports attorneys and leadership with operational needs, and ensures that internal processes run smoothly.
The Office Coordinator serves as the central point of coordination for office workflows, vendor relationships, facilities management, and administrative policy implementation.
The firm is located in Sandy Springs and the normal work hours are M‑F 8am to 5pm. Work is performed totally onsite. However, summers tend to be slower so the firm offers the wonderful benefit of half‑day Fridays during the summer months! And the office is closed for a week at the end of the year so that their employees can enjoy the holidays with their families.
Responsibilities- Serve as the first point of contact for clients, maintaining a professional and welcoming
- Prepare, organize, and finalize documents for signing appointments
- Send and manage Docu Sign envelopes and ensure completed documents are properly saved and organized in Box
- Process incoming and outgoing mail (USPS, Fed Ex, courier, etc.)
- Manage office supplies, coordinate vendors, submit work orders, and maintain general office organization
- Provide administrative support to attorneys, including scheduling, email correspondence, Calendly management, time entry assistance, and task tracking
- Maintain accurate and complete data in Clio, including notes, contact updates, email logging, and time entries
- Prepare weekly appointment summaries, attorney reports, and monthly internal meeting materials
- Assist with basic technology troubleshooting and coordinate with our IT provider when
- Strong technological proficiency (Mac environment, cloud‑based systems, digital file management)
- Ability to learn new software quickly and confidently
- Highly organized with exceptional attention to detail
- Clear and professional written and verbal communication
- Dependable and consistent in completing tasks fully and accurately
- Comfortable balancing repetitive administrative tasks with shifting priorities
- Professional discretion when handling confidential client information
- Prior administrative or legal experience is helpful but not required
Salary: $55,000-$60,000 annually (commensurate with experience)
