We are seeking an energetic and detail-oriented Front Desk Administrative Assistant to be the welcoming face of our organization and support our daily operations. In this role, you will manage front desk activities, handle multi-line phone systems, provide exceptional customer service, and assist with a variety of administrative tasks. Your proactive approach and organizational skills will ensure smooth office functioning, creating a positive experience for visitors, clients, and team members alike.

- Greet visitors professionally and assist with check-in procedures, ensuring a warm and welcoming atmosphere
- Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel
- Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace or Microsoft Office
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity
- Support office management tasks including supply inventory, mail handling, and maintaining cleanliness of common areas
- Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism
- Assist with bookkeeping activities using Quick Books or similar accounting software to support basic financial recordkeeping
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent computer literacy with the ability to learn new software quickly
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with front desk operations, multi-line phone systems, and data entry tasks
- Knowledge of medical or dental receptionist duties is a plus, along with personal assistant or calendar management experience
- Ability to handle multiple priorities efficiently through effective time management and organizational skills
- Attention to detail in proofreading documents and maintaining accurate records
- Familiarity with bookkeeping processes using Quick Books or similar tools is advantageous
