We are seeking an energetic and detail-oriented Front Desk Administrative Assistant to be the welcoming face of our organization and support our daily operations. In this role, you will manage front desk activities, handle multi-line phone systems, provide exceptional customer service, and assist with a variety of administrative tasks. Your proactive approach and organizational skills will ensure smooth office functioning, creating a positive experience for visitors, clients, and team members alike.

Responsibilities
  • Greet visitors professionally and assist with check-in procedures, ensuring a warm and welcoming atmosphere
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel
  • Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace or Microsoft Office
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity
  • Support office management tasks including supply inventory, mail handling, and maintaining cleanliness of common areas
  • Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism
  • Assist with bookkeeping activities using Quick Books or similar accounting software to support basic financial recordkeeping
Skills
  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy with the ability to learn new software quickly
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with front desk operations, multi-line phone systems, and data entry tasks
  • Knowledge of medical or dental receptionist duties is a plus, along with personal assistant or calendar management experience
  • Ability to handle multiple priorities efficiently through effective time management and organizational skills
  • Attention to detail in proofreading documents and maintaining accurate records
  • Familiarity with bookkeeping processes using Quick Books or similar tools is advantageous
