We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the CEO, who will also support the Board. This position requires a servant leader mindset through a dynamic individual capable of managing executive-level administrative tasks. The ideal candidate will be highly organized, possess excellent communication skills, and demonstrate the ability to work independently with minimal supervision.
Responsibilities- Provide high-level administrative support to the CEO, including managing schedules, appointments, and travel arrangements including accommodations, transportation, and meals when necessary
- Prepare and organize documents, reports, and presentations for meetings including preparing agendas, taking minutes, and following up on action items
- Handle confidential information with discretion and professionalism
- Assist with special projects and other duties as assigned by the CEO
- Serve as a liaison between the CEO and the Board of Directors, executive team, senior leaders, donors, partners, and external organizations to ensure efficient and timely flow of work and assist in facilitating swift action and responses
- Serve as Board liaison assisting in various work streams as needed
- Attend Board meetings quarterly and assist with logistics and meeting coordination
- Responsible for board website and organization of important documents
- Develop an ongoing reporting system for board and campaign members
- Assist the CEO with special projects, conducting research, gathering data, and preparing comprehensive reports
- Monitor project timelines and ensure deadlines are met without fail
- Utilize project management tools and methodologies to track and report on project progress
- Coordinate cross-functional teams to ensure project milestones and deliverables are achieved on time
- Bachelor’s degree, preferably in a related field
- Minimum 5 years of related work experience, preferably in a growth-phase nonprofit environment
- Strong administrative and organizational skills with computer skills, including proficiency in MS Office Suite (Word and Outlook) and Google Workspace (Gmail, Google Calendar, and Google Docs)
- Employment is contingent upon successfully completing pre-employment background checks, including criminal history, fingerprinting, and drug testing. Continued employment is subject to ongoing compliance with these checks.
- Possession of a valid driver’s license is required and must be maintained throughout employment.
- Documentation of references (at least two professional and one personal) that attest to the person’s capability of performing the duties of the position and to the person’s suitability of working with or around children and vulnerable populations.
- Ability to lift objects up to 25 pounds and work for long periods at a computer
- Moderate local travel required related to program and training needs, as well as occasional travel beyond the metro Atlanta area
