Job Summary
The Forensic Program Associate provides essential administrative and operational support to the Forensic Diversion Manager and the State Office of Forensic Services. This position is responsible for managing forensic program data, supporting court-ordered processes, coordinating with stakeholders across the criminal justice and healthcare systems, and ensuring accurate and timely documentation.
Duties & Responsibilities- Case Management & Diversion Support
- Receive, review, and prepare cases for admission or diversion.
- Manage the forensic admission wait list.
- Create and maintain defendant case files, verifying locations (bond or jail) and ensuring contact information is accurate.
- Request, receive, and track records with appropriate Releases of Information (ROI).
- Monitor and track Medication Over Objection participants.
- Draft correspondence to courts at the direction of the Diversion Manager (e.g., “Cannot Locate” notices, requests for community restoration, referrals).
- Process referrals for:
- Jail-Based Restoration Programs
- Developmental Disability Services
- Nursing Home cases
- Diversion pilots
- Stakeholder Communication
- Attend competency dockets and serve as a point of contact for state agencies, attorneys, court clerks, sheriff departments, and other justice system stakeholders.
- Respond to forensic admissions emails in a timely and professional manner.
- Coordinate with medical, mental health, and educational entities regarding record requests and ROI statuses.
- Data Management
- Update and maintain admission and diversion files, prioritizing critical cases.
- Ensure accuracy and timeliness of data entry.
- Generate monthly reports for the Diversion Manager, including:
- Jail-Based Restoration referrals
- Active diversion referrals
- Community restoration cases
- Specialty cases
- Maintain and update defendant files in SharePoint and/or FRP.
- Upload and manage supporting documentation, including school, medical, and psychological records.
- Update case statuses and enter evaluation data into AVATAR.
- Office Management
- Schedule court clinics and Diversion Manager sessions (in-person and virtual).
- Provide administrative support to ensure smooth daily operations of the Forensic Services Office.
- Ensure coverage for community Program Assistants during vacancies and leave.
- Detail-oriented with strong data management and recordkeeping skills.
- Ability to use discretion with handling sensitive information and collaborating with diverse stakeholders including the Georgia judicial system and healthcare partners.
- Effective written and verbal communication skills.
- Proficient use of Microsoft Office products, People Soft, CONCUR, Kronos, SharePoint.

High school diploma/GED and three (3) years of job-related experience; or one (1) year of experience required at the lower level Admin Assistant 1 (GST
050) or position equivalent.
