A Probate Court Clerk/Vital Records Clerk performs clerical and administrative duties related to the operation of the Probate Court/Vital records, handling tasks such as processing legal documents, providing information to the public, and maintaining court records. They are often responsible for a wide range of responsibilities related to Marriage License, Weapons Carry Permits, Wills, Estates, Guardian ships, Conservatorships, and Vital Records for the State of Georgia along with other court matters.
Performs customer service functions by telephone, mail and in person. Provides information and assistance regarding court activities, services, procedures, documentation, fees, case status/disposition, or other issues; reviews and accepts legal documents in accordance with court procedures and prescribed time frames; distributes forms and documentation; responds to routine questions or complaints; and initiates problem resolution.
Performs issuance of Georgia birth and death certificates under strict state guidelines and regulations, filing and answering phones and assisting funeral directors, physicians, hospitals and coroner in the completion of birth and death certificates, etc.
Performs data entry in specialized program application: records, scan and indexes court case information and/or legal documents; audits and reviews data for accuracy; and maintains accurate records and filing system.
Receives records and prepares receipts for payments of fees or other unit specific payments, perform daily counting of cash drawers and balances all monies transacted.
KNOWLEDGE,
SKILLS AND ABILITIES
- Knowledge of Court system procedures.
- Skill in communicating both in writing and orally.
- Skill maintaining accurate information and attention to detail.
- Ability to complete required yearly training through the Georgia Department of Public Health.
- Ability to operate office equipment including personal computer, copier, fax machine, typewriter, calculator and various other equipment.
- Ability to expedite processes while maintaining accuracy levels is required.
- Ability to deal with the general public in a professional and courteous manner.
- Ability to lift boxes for filing court records in storage retention.
DESIRABLE TRAINING AND EXPERIENCE
Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having a similar position for one to two years. Possession of or the ability to readily obtain a valid driver’s license.
A combination of education and/or work experience may be substituted for minimum requirements.
