Job Summary:

The Administrative Assistant will provide administrative support to our team and ensure the smooth and efficient operation of our office. The ideal candidate will have excellent organizational and communication skills, as well as the ability to multitask and prioritize tasks effectively.

Key Responsibilities:

- Greet and assist visitors and clients in a professional and friendly manner

- Answer and direct phone calls to appropriate team members

- Manage and maintain office supplies and equipment

- Prepare and distribute correspondence, memos, and reports

- Schedule and coordinate meetings, appointments, and travel arrangements

- Assist with the preparation of project proposals and presentations

- Maintain and update company databases and records

- Handle incoming and outgoing mail and packages

- Assist with the onboarding process for new employees

- Perform other administrative duties as assigned by management

Qualifications:

- High school diploma or equivalent; additional education or training in office administration is a plus

- Proven experience as an administrative assistant or similar role

- Proficient in Microsoft Office and other relevant software

- Excellent communication and interpersonal skills

- Strong organizational and time-management skills

- Ability to handle confidential information with discretion

- Attention to detail and accuracy

- Ability to work independently and as part of a team

- Prior experience in the construction industry is preferred but not required

Working Conditions:

This is a full-time position, with typical office hours from 9am to 5pm, Monday to Friday. The role may require occasional overtime or weekend work, depending on project deadlines. The Administrative Assistant will work in a fast-paced office environment and may occasionally need to lift and move office supplies and equipment.
