Job DescriptionArmor Medical is seeking a part-time Executive Assistant to support the CEO in a fast-paced, mission-driven startup environment. This is a high-trust, high-impact role focused on follow-through, prioritization, and execution. The Executive Assistant will work closely with the CEO to ensure important relationships are supported, commitments are tracked and completed, and priorities are surfaced clearly amid competing demands. This role is not traditional administrative support.
Instead, it requires strong judgment, organization, and proactive follow-through. This position is well-suited for someone who enjoys working closely with a senior leader, bringing structure to complex days, and helping meaningful work move forward.
Core Responsibilities:
Email Follow-Through & Accountability
- Draft and send routine responses and follow-ups on behalf of the CEO
- Track open threads, time-sensitive follow-ups, and commitments made via email
- Ensure commitments are completed and conversations are closed
- Escalate only messages that:
- Require a decision
- Involve legal, financial, or reputational risk
- Require rapid CEO input
Serve as the human filter between automation and CEO attention, ensuring important work moves forward without unnecessary escalation.
Scheduling & Time Protection
Provide lightweight scheduling and logistics support:
- Assist with scheduling as needed to reduce bottlenecks or cover overflow
- Coordinate logistics for confirmed meetings and travel when requested, including:
- Flights, hotels, and ground transportation
- Basic itineraries and confirmations
- Support coordination across advisors, investors, and external partners
- Prepare agendas and pre-reads when helpful
- Flag scheduling conflicts or time compression risks that impact decision quality
Advisor & Contract Administration
Create and maintain a master list of:
- Advisors and consultants
- Contract terms, equity, vesting, and expiration dates
- Track contract expirations and trigger renewal workflows
Task & Priority Management
Coordinate with the CEO to maintain and update:
- Prioritized task lists
- Owners
- Deadlines
- A simple weekly execution plan
- Proactively flag:
- Blocked items
- Items requiring a decision
- Tasks that can be delegated or deprioritized
External Communications & Light Operations Support
- Coordinate investor newsletters (drafting support and distribution)
- Support website updates (press, announcements)
- Draft and queue Linked In posts for the CEO and company
- Maintain mailing lists and basic tracking
- 3–7 years of experience supporting senior leaders in an executive assistant, operations, or similar role (preferred)
- Strong organizational skills and consistent follow-through
- Excellent written and verbal communication skills
- Sound judgment and discretion when handling sensitive information
- Comfort working in fast-moving environments with shifting priorities
- Ability to work independently and proactively
Experience in healthcare or startups is not required

- Hourly contract role, pay based on experience
- Expected commitment of 15–20 hours per week
- Flexible schedule within standard business hours
- Scope and hours may expand over time based on mutual interest
