What You'll Do
We are seeking an Administrative Assistant, a front-line position who assists building tenants, contractors, managers, and visitors daily and requires strong customer service and organizational skills. This is an onsite role with a phenomenal commercial real estate company.
- Manage daily administrative operations including phones, calendars, meeting coordination, document production, filing systems, mail distribution, and building website updates.
- Support property operations by processing Yardi invoices, updating stacking plans and reports, coordinating access cards, maintaining vendor lists, and preparing inspection and tracking documents.
- Coordinate tenant services such as move-ins/outs, service requests, event planning, signage/keys, and recycling program participation while maintaining accurate tenant manuals and contact lists.
- Assist with accounting, budgeting, insurance compliance, Energy Star data entry, utility bill-backs, Cuzway reporting, and work-order scheduling.
- Ensure smooth building operations by partnering with security, engineering, and property management to provide access, dispatch requests, and uphold operational standards.
- Minimum 3 years of administrative experience; real estate or property management experience preferred.
- Strong customer service orientation with excellent interpersonal, communication, and organizational skills.
- Proficiency in Microsoft Office Suite and ability to manage multiple tasks, deadlines, and stakeholders with accuracy and urgency.
- Detail-oriented, dependable, and able to handle confidential information with integrity and professionalism.
- Ability to analyze information, solve problems, and support reporting, budgeting, and compliance processes.
