Licensing Coordinator II – Paradies Lagardère
Join us as a Licensing Coordinator II at Paradies Lagardère
. This role is part of a small licensing team focused on obtaining and renewing licenses, tracking state and local requirements, facilitating vendor payments, and maintaining licensing data in the License HQ system.
- Timely and accurate filing of license applications and renewals
- Timely facilitation of vendor payments and other expenses
- Effective calendaring, reporting, and tracking, including maintenance of filing sheets and the License HQ database
- Effective compliance problem‑solving and clear communication with internal and external parties
- License Administration:
Manage the entire lifecycle of approximately 4,500 licenses (business, health, food, fire, wastewater, duty‑free, alcohol, tobacco, and miscellaneous permits). Work with the Corporate Paralegal/Licensing and Regulatory Compliance team to ensure all licenses are current and compliant across U.S. and Canadian jurisdictions. - Training & Audits:
Assist with training and troubleshooting to maintain license obligations; conduct random audits to ensure ongoing compliance. - License
HQ Administration:
Own and administer the License
HQ system, ensuring accurate data entry, tracking, and reporting to meet regulatory and company policy requirements. - Gross Receipt Spreadsheet:
Develop and maintain Gross Receipt Filings & Deadline Spreadsheet for licensing and tax professionals. - Deadline Report:
Produce and distribute weekly deadline reports, coordinating with new store openings, construction updates, and other resource constraints to meet all deadlines. - Policy & Procedure Development:
Create and maintain policies, procedures, and renewal instructions for internal license personnel across all state, county, and city jurisdictions based on independent research. - Invoice & Payment Administration:
Handle all invoice approvals, check requests, and vendor/law firm payments, ensuring proper expense allocation. - External Counsel & Agency Liaison:
Serve as a company representative for highly regulated licenses, interfacing with external counsel and governmental agencies. - Vendor Coordination:
Independently coordinate with state, county, and city offices to confirm necessary documentation, fees, and processing timelines while maintaining positive relationships. - First‑Line Legal Support:
Provide initial support for voluminous legal inquiries from business partners, offering direct answers or directing them to the appropriate legal resource. - Administrative Duties:
Perform other licensing process–related administrative tasks as required. - Special Projects:
Support staff on various special projects, corporate compliance initiatives, and reporting efforts.
- 3+ years of experience as a paralegal or licensing professional (in law firm, in‑house, IT procurement, or comparable roles).
- College degree (bachelor’s or associate’s) or paralegal certificate preferred.
- Strong knowledge of corporate entities, licensing, regulatory compliance, and record management—including familiarity with liquor licensing is a plus.
- Excellent organizational skills, initiative, intuition, detail orientation, responsiveness, interpersonal skills, and a can‑do attitude.
- Superior communication abilities with internal and external parties.
- Strong problem‑solving, analytical, and decision‑making skills.
- Capacity to handle confidential and sensitive information with strict confidentiality, including personal information of senior officers.
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint), Adobe, legal research tools, and general computer skills.
