Operations Assistant
Part‑Time | 25 Hours/Week | In‑Office Only (Atlanta) Monday–Friday, flexible between 9AM–4PM

We’re looking for an Operations Assistant who’s sharp, organized, and energizing to work with. This is a part‑time, in‑office role that plays a key part in how our firm runs. You’ll support leadership, assist agents, interact with clients, and help keep day‑to‑day operations moving smoothly.
Because this role involves managing physical documents, greeting guests, and being the first point of contact at reception, a remote or hybrid option is not available. We know flexibility matters, but in this case, being on‑site is essential—and you’ll be part of a collaborative, upbeat team that makes the office a great place to be.

What You’ll DoBe the Operational Glue
- Support internal operations across leadership, brokerage agents, and client service
- Triage emails, manage calendars, and book travel—mainly for our leadership team
- Answer phones professionally, route calls, and capture new leads in our CRM
Keep Documents & Systems Flowing
- Own document management, using Docu Sign and Egnyte
- Maintain files, templates, tour packages, and PowerPoint decks
- Assist with mail merges, envelope printing, and assembling agent materials
Make Meetings & Events Happen
- Schedule Zooms for partner meetings and external guests
- Update and format PowerPoint slides with weekly announcements and visuals
- Assist with event logistics: ticketing, RSVPs, supplies, and light communication
Support Agents & Clients Directly
- Help agents stay organized with document prep and CRM support
- Greet clients warmly and represent DTSpade’s professional, upbeat vibe
- Coordinate behind‑the‑scenes tasks that make everyone’s job easier
Morning
Review emails, update calendars, and check for urgent to‑dos.
Answer incoming call from a potential client, enter them into Pipedrive, and connect them with an agent.
Update documents in Egnyte and send tour package for agent review.
Afternoon
Prep PowerPoint slides for the Partners’ weekly meeting.
Assist with RSVPs for a team outing and print mailers for client follow‑ups.
Final inbox scan, tomorrow’s priorities set, and desk cleared.

Proactively anticipate operational needs (before anyone asks).
Support events, reporting, and client materials with minimal direction.
Be the go‑to person for “how do I get this done?” around the office.
What You BringYou don’t need to check every single box—but to be successful in this role, you should bring a strong foundation in admin support and a mindset that’s organized, proactive, and people‑focused.
Must‑Haves
- 2+ years in an administrative, coordinator, or client‑facing role
- Highly organized and able to juggle multiple tasks without dropping details
- Proactive and resourceful—you anticipate needs and take initiative
- Clear and professional communicator (especially by phone and email)
- Comfortable with tech tools like Microsoft Office (Outlook, Excel, PowerPoint), Zoom, and Adobe Acrobat
Bonus Experience (Nice to Have)
- Familiarity with CRM tools like Pipedrive, Salesforce, or Hub Spot
- Exposure to or interest in commercial real estate, leasing, or property management
