  • Bachelor's degree in a related field or equivalent

Preferred Qualifications

  • Prior experience with Banner;
    Athena experience preferred
Position Summary

The primary role is to provide administrative support for the mathematics department’s graduate program.

Duties and Responsibilities

Graduate Records

  • Act as liaison between graduate students and the Mathematics department and Graduate School.
  • Assist graduate students in filling out Graduate School forms and award nomination forms.
  • Submit applicant and current graduate student award nominations to Graduate School and Franklin College.
  • Process paperwork for current graduate students: letters and Graduate School forms for PhD, Masters, MAMS.
  • Maintain records from matriculation to graduation.
  • Update graduate student databases (personal, academic, awards, committees, exams).
  • Create reports for Graduate Committee.
  • Assist with exam announcements, qualifying exam scheduling, and faculty evaluations.
  • Compile statistical reports and follow‑up reports to Graduate School.

Graduate Recruiting & Admission

  • Assist Graduate Coordinator with advising prospective students.
  • Maintain recruitment mailing lists.
  • Develop program advertising and promotional materials.
  • Coordinate prospectus visits, tours, and luncheons.
  • Plan and coordinate Graduate Visitation Day and Orientation Week.
  • Write and send offer letters and correspondence.

Accounting

  • Update and maintain graduate student support spreadsheets.
  • Collect and allocate reimbursement funds for Visitation Day guests.
  • Create and maintain Visitation Day travel expenses and student travel request spreadsheet.

Web Work

  • Create, update, and maintain Departmental Graduate Website.

Advising Support

  • Advise students on registration, program procedures, policies, and deadlines.
  • Administer student support for alternative problem solutions.
  • Clear graduate students to register for classes in Athena and troubleshoot registration flags.
  • Sectioning Officer:
    Assign Instructors in Banner for graduate research courses.

Miscellaneous Office Tasks

  • Assist with departmental events, faculty committee data, copy requests, letters, correspondence, mailings.
  • Work with Office Manager and Department Head for temporary coverage.
  • Any other duties as assigned.
