Position Summary

The Administrative Specialist for the Dean Rusk International Law Center provides key administrative, faculty, and event support to advance the Center’s mission. This role serves as a primary point of contact, managing daily operations, procurement, communications, facilities coordination, and student workers. The position supports Center faculty with instructional, research, and travel needs and assists with conferences, lectures, and events, including logistics and financial processing.

The Administrative Specialist also maintains the Center’s website and publications and contributes to newsletters and the annual report under the direction of the Center Director.

Minimum Qualifications
  • High school diploma or equivalent

  • Prior related office experience or experience in higher education.
  • Proficient with Microsoft Office Suite or related software.
  • A demonstrated interest in and/or knowledge of international and transnational law.

Duties and Responsibilities
  • Administrative & Financial Support:
    Provide general Center budget support and bi‑weekly financial reporting to the Center director; serve as a first point of contact for vendors, perform procurement duties, and order office supplies; receive deliveries, distribute incoming mail, and prepare outgoing mail; serve as first point of contact for room reservations; monitor and respond to general Center inquiries via the main Center email account and phone;

    assist director and Center staff with general coordination of Center meetings; maintain the Center website; supervise Center student workers; assist with the creation of the Center’s annual report; assist with the drafting of the Center’s bi‑weekly digital newsletter; serve as the primary point of contact for issues regarding the physical Center space and coordinate with the Law School’s facilities team;

    maintain cleanliness of the Dean Rusk break room and other common areas.
  • Faculty Support for Center:
    Serve as the Faculty Assistant for faculty in the Dean Rusk International Law Center; provide support to instruction, research, and professional development initiatives; assist with class attendance records; process travel arrangements; prepare and organize reports and files supporting faculty research and service responsibilities; serve as back‑up for other faculty administrative assistants.
  • Event Coordination:
    Coordinate space and services; develop timelines; collaborate with internal stakeholders; participant registration and on‑site execution/cleanup; coordinate hotel room blocks, room setups, catering details, registration logistics, and vendor requirements; process all related financial transactions for events within 30 days; develop draft marketing materials and social media graphics; provide support for events hosted by the Center.
  • Other Center Duties:
    Assist and collaborate with other members of the Center staff and stakeholders as needed, under the supervision of the director.
