Office Assistant – Department of Romance Languages, University of Georgia

Position Summary: The primary function of this position is to interface with students, faculty, and staff, while carrying out a variety of key administrative tasks in support of the teaching, research, and service mission of the Department of Romance Languages. Duties include working with the study abroad program directors and serving as a point of contact between Romance Languages and the Department of Linguistics and the Institute for Women’s Studies.

Key Responsibilities
  • Building Support & Shared Spaces – maintain appearance of shared spaces, document building issues, manage helpdesk tickets, and liaison with maintenance.
  • Digital Signage, Bulletin Boards & Materials Production – manage digital signage, use the REACH platform, create digital and print materials, and monitor bulletin boards.
  • Scheduling & Administrative Processes – manage room reservations, coordinate departmental events, process Late Adds and Section Changes, and prepare inventory for Asset Management.
  • Front Desk Operations & Communications – greet foot traffic, answer the main phone line, distribute emails, and manage mail distribution.
  • Supplies & Equipment – check out laptops, maintain supply stock, and order supplies.
  • Other – duties as assigned by the Office Manager and Department Head.
Qualifications
  • High school diploma or equivalent.
  • Interest in a public‑facing front office position.
  • Excellent verbal and written communication skills.
  • Strong customer service skills.
  • Strong time management and prioritization abilities.
  • Competence learning computer programs and online platforms through on‑the‑job training.
Physical Demands

Sit/stand for extended periods. Lift 20–30 pounds.
