Key Responsibilities
- Assistant to Department Head
:
Coordinate new hires and returnee hires, prepare EOO letters, offer letters, renewal letters, and evaluation correspondence; scan and submit faculty promotion and tenure dossiers. - Facilities Support
:
Prepare and coordinate MRR and SRR proposals for Gilbert Hall; handle FMD requests and office updates. - Program/Departmental Support
:
Assign yearly office assignments to graduate students and instructors; collaborate with OGE and Immigration Services on visa paperwork; determine Gilbert Hall classroom assignments; update the Romance Languages directory; receive deposit transmittals for graduate translation exams; coordinate faculty search committees; manage fundraising events. - Staff Supervisor
:
Manage the department’s administrative assistant, approve timesheets and leave requests, complete annual evaluations, supervise data entry into Banner and training of staff. - Financial Coordinator
:
Liaise between the Franklin Business Office and the department; assist faculty, graduate students, and staff with expense reports and travel authorizations; maintain monetary commitments; coordinate vendor registration and scholarship data submission. - Support day‑to‑day logistics planning for the Department; primary contact for Franklin Works; assist with faculty hires, annual evaluations, and faculty annual evaluations; prepare MRR and SRR proposals; process curriculum proposals in CAPA; work with department administration on fundraising; supervise one staff position.
Qualifications
- High school diploma or equivalent and 5 years of related experience.
- Strong organizational and people skills; proficiency in written communications.
- Experience managing complex projects, prioritizing tasks, and adapting to changing priorities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe CS6, and campus systems including Banner, Athena, Argos, NOLIJ; willingness to learn new technology applications.
- Ability to work independently, effectively manage time, and work responsibly.
Physical Demands
- Sitting at a computer for extended periods of time.
