Athabasca University's Office of the Registrar is recruiting to the position of Coordinator, Examination Services.
This temporary role ending April 30, 2027 is located in Alberta.
The Position:
Consistent with University policy and the objectives and priorities of the Office of the Registrar, the Coordinator of Examination Services is responsible for managing the day-to-day operations of the Examination Services Unit and oversees and coordinates efficient and effective service to stakeholders. The incumbent supervises all unit staff, identifies operational needs, develops unit operational plans, and reviews processes to ensure the unit is operating within University and external regulatory requirements and in alignment with various strategic and operational plans.
The incumbent is responsible for the workflow associated with the processing and maintenance of AU examinations throughout their life-cycle, including the invigilator review and approval process, oversight of services provided by virtual invigilation provider Proctor
U, maintenance and renewal of the exam invigilation network and related documentation, and the fulfillment of student examination requests received in the Office of the Registrar. The incumbent will maintain and develop stakeholder relationships and business practices in the unit that ensure exam security and integrity and promote an accessible and affordable examination delivery system for all AU students.
The incumbent ensures that all related University policies are translated into the operational objectives, priorities and procedures of the Unit, and coordinates with other AU departments and collaborating partners for the provision of these services.
Interpreting and resolving student problems and concerns is a key component of this position, as is granting exceptions in situations that fall outside of University policies and procedures.
The incumbent works under the supervision of the Associate Registrar, Operations, and has close working relationships with the Unit Trainer, other members of the Registrar's Office Management Team (ROMT), and other stakeholders, including representatives from Proctor
U. The Coordinator must ensure that a collaborative approach is taken in supporting the examination and assessment initiatives and strategies of the University. This requires active participation in Office of the Registrar planning activities as well as the ability to operationalize policy and approved University strategy.
Qualifications:
An undergraduate degree or equivalent experience is required to facilitate the understanding of stakeholder groups, work creatively and effectively in the institution, and to motivate staff.
A minimum of 2 to 3 years of progressively responsible experience in a complex, online and regulated environment (post-secondary or other) or equivalent combination of experience and education is also required. Other combinations of education and experience may be considered.
Excellent supervisory and communication skills are required, as are thorough investigative and problem-solving skills. The ability to absorb and assimilate diversified information and to make quick, well-reasoned, and independent decisions is crucial.
The incumbent must have strong management and leadership skills, excellent organization and planning skills and proven ability to direct and supervise staff in a collaborative, co-operative way. Exceptional service to internal and external customers in a related (regulatory) environment is essential. Experience in managing change is critical to the success of the incumbent.
The incumbent must have a sound understanding of Student Information Systems (preferably Banner) combined with solid process review and development skills. A working knowledge of Document Imaging and Workflow systems would be beneficial. Experience in a fast paced and changing technological environment is essential.
The incumbent will have access to extremely confidential material in performing their duties and responsibilities. The incumbent is required to uphold the utmost degree of confidentiality and to conform to the regulations and guidelines as outlined in legislation and University Policy.
