Job Description

The Finance and Payroll Administrator is responsible for managing payroll operations, maintaining accurate financial records, and ensuring compliance with all employment tax regulations. This role bridges accounting and human resources by supporting employee benefits administration, tax filings, and payroll‑related reporting. The ideal candidate is detail‑oriented, highly organized, and proactive in streamlining systems that support both financial and people operations.

Location: Aspen, CO

Employment Type: Full‑Time, Exempt

Reports To: Controller/Director of People and Culture

Schedule: Monday‑Friday

Pay Rate: $60‑$70,000 DOE

Job Responsibilities
  • Process bi‑weekly payroll accurately and on time, ensuring compliance with federal, state, and local wage and hour laws.
  • Maintain and reconcile payroll records, including employee earnings, deductions, and benefits contributions.
  • Manage payroll journal entries and coordinate with the accounting team to ensure accurate general ledger postings.
  • Prepare and file multi‑state employment tax reports (e.g., federal and state with holdings, unemployment insurance, W‑2s, 1099s).
  • Assist with benefit administration, including enrollments, changes, terminations, and monthly billing reconciliations.
  • Collect and reconcile employee housing payments, manage lease agreements, utility payments, deposits, etc.
  • Serve as a liaison between finance, HR, and external vendors (payroll providers, benefits carriers, auditors).
  • Support annual audits, year‑end reporting, and benefits open enrollment processes.
  • Identify and implement process improvements in payroll and accounting systems.
  • Provide reports and analysis related to payroll, benefits costs, and financial performance as needed.
Qualifications
  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
  • 3–5 years of experience in payroll and accounting administration.
  • Strong knowledge of payroll laws, employment taxes, and benefits administration.
  • Experience with payroll software (e.g., ADP, Paycor, Paychex, or similar) and accounting systems (e.g., Quick Books, Net Suite, or similar).
  • Proficiency in Microsoft Excel and general financial reporting tools.
  • Exceptional attention to detail, accuracy, and confidentiality.
Knowledge, Skills, and Abilities
  • Understands federal, state, and local wage laws, employment tax filing requirements, and compliance standards.
  • Working knowledge of journal entries, account reconciliations related to payroll and benefits.
  • Familiarity with employee benefits programs (health, dental, Simple IRA) related deductions and reporting.
  • HRIS and Payroll Systems knowledge and ability to integrate payroll and HR software with accounting platforms.
  • Understanding of data privacy and best practices for handling sensitive employee and financial information.
