Summary

The Facility Operations Manager is responsible for the planning, oversight, evaluation and operational needs of all events and activities involving facility conversions, custodial services, and maintenance. The role includes completing mechanical reports, preventative maintenance and repair plans, and coordination of service contracts and projects. The position requires a flexible schedule and availability outside normal business hours to respond to HVAC alarms, including evenings, weekends, and holidays, often exceeding 40 hours per week as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Oversee all operational areas of the facility, including plumbing, electrical, HVAC, snow removal, and other systems.
  • Hire, train, schedule, supervise, and evaluate skilled and semi‑skilled workers involved in setup, operation, and tear‑down of event‑related equipment.
  • Perform daily preventative maintenance and repairs on all building systems.
  • Manage daily maintenance work such as carpentry, minor electrical, refrigeration, plumbing, and painting.
  • Maintain a safe, organized, and clean work area.
  • Manage inventory of equipment, custodial and event supplies.
  • Inspect the physical condition of the facility daily and perform necessary repairs.
  • Maintain superior relationships with vendors and facility users.
  • Efficiently schedule HVAC, lighting, and other systems to meet event and daily operational needs.
  • Maintain public areas, service corridors, and storage rooms in a clean and safe manner.
  • Use custodial procedures and safety equipment, including MSDS and PPE.
  • Integrate conversion and maintenance activities with customer service and programming.
  • Monitor expenses, prepare budgets for labor, consumables, major repairs, maintenance, and custodial activities.
  • Maintain relationships with agencies such as contractors, fire inspection, elevators, sprinklers, etc. to meet code compliance.
  • Assign work projects and provide direction to improve methods and productivity.
  • Analyze event information to meet equipment and service needs, preparing staff schedules.
  • Analyze operations data and recommend building modifications or procedural changes to maximize energy efficiency.
  • Establish and execute preventive maintenance on all equipment and systems.
  • Develop and maintain records such as equipment inventories, accident and damage reports, monthly expenses, activity reports, and personnel records.
  • Assist the Executive Director in creating a Capital Needs Assessment and long‑range planning.
  • Perform snow removal and apply ice‑melting materials.
  • Oversee that maintenance activities are executed safely and professionally.
  • Demonstrate customer focus, integrity, communication, and teamwork.
Supervisory Responsibilities

Directly supervise part‑time employees in the Operations Department. Carry out managerial responsibilities per organizational policies and applicable laws, including interviewing, hiring, training, planning, assigning, appraising, rewarding, disciplining, and addressing complaints.

Qualifications
  • Work hours and schedules vary; must be available on‑call for HVAC alarms.
  • Must attend large events as needed for efficient operations.
EDUCATION and EXPERIENCE
  • Two‑year degree or equivalent experience in building conversion activities and mechanical repair.
  • Effective oral and written communication skills.
  • Knowledge of general facility maintenance practices, equipment, and machinery.
  • Ability to execute safety programs.
  • Basic knowledge of business management practices.
  • Strong knowledge of plumbing, heating, ventilation, mechanical, electrical, and building systems.
  • Occupational hazard awareness and safety precautions; ability to operate forklift, scrubber, and standard tools.
  • Ability to hire, supervise, and train staff.
  • Budget development and event labor cost record maintenance.
  • Computer skills for building (HVAC, fire) and administrative purposes.
  • Work independently, establish priorities, and prepare budgets.
CERTIFICATES, LICENSES and REGISTRATIONS
  • Current, valid driver’s license.
  • Boiler, HVAC, or other skilled license; training is a plus.
