Job Description (JD): OPERATIONS MANAGER
As an Operations Manager on the Varga Mountain Collective, one of WNC’s top producing real estate teams, you will provide administrative and operational support to the Principal Broker. You will be tasked with maintaining administrative tasks and managing end-to-end real estate business operations. You are highly organized, reliable, and systems oriented. You are personable, have impeccable follow-through, and exceptional communication skills.
This position is vital support for the team with unlimited growth potential and mentorship opportunity.
1.2 Job Responsibilities
The Employee shall be responsible for overseeing and implementing operational systems, lead pipeline tracking and follow-up, marketing coordination, transaction management, listing management, administrative support, and high level customer service as outlined below:
Operations & Systems Management- Streamline and develop systems for productivity and organization, including lead management, client communications, listing management, and team operations.
- Establish best practices and implement operational improvements.
- Create & maintain a business operations manual and job descriptions for future hires.
- Oversee lead tracking and CRM database management.
- Implement timely follow-up strategies to convert leads into clients.
- Provide update communications to referral partners.
- Oversee all seller transactions from initial contact to executed purchase agreement.
- Prepare listing appointment materials and CMA’s.
- Schedule property photos, staging, repairs, and marketing activities.
- Manage MLS listings, seller feedback reports and timely progress communication.
- Oversee buyer & seller transactions from executed purchase agreement to closing.
- Coordinate inspections, attorney/ title processes, vendor scheduling, and closing coordination.
- Maintain regular communication with clients, agents, attorneys, lenders, and vendors.
- Schedule post-closing follow-ups for client satisfaction and referrals and ensure testimonials are submitted.
- Organize and oversee listing marketing collateral production - social posts, paid advertising, email blasts, and print collateral.
- Create marketing schedules for VMC brand and coordinate monthly newsletter.
- Assist with managing social media, website updates, email campaigns, and agent marketing videos.
- Coordinate open houses, client events, and holiday gifting.
- Maintain the Principal Agent’s calendar and scheduling responsibilities.
- Manage Principal Agent’s email.
- Assist with time sensitive activities such as CMAs, writing offers, scheduling showings, vendor coordination, and responding to client or lead communications for Principal.
- 2+ years of real estate experience required
- NC Real Estate License required
- Listings & transactions management with understanding of local regulations
- Fast learner, with strong time management skills and a growth orientation
- Extreme attention to detail and ability to be flexible to changing priorities and urgent requests
- Excellent written and oral communication, with great interpersonal skills
- Pleasant and professional demeanor at all times, commitment to confidentiality
- Proficient with Google suite of products, MacOS, Email Marketing, and CRMs
- Proficient with Facebook, Instagram, Linked In, and Google Business
- Base Salary $40,000/yr
- Commission Split 5% (minimum $10,000 paid quarterly with unlimited upside)
- Total annual income minimum $80,000+/yr
- Referral 25% of gross commission on any leads you bring in
- Evaluations on comp and merit increases awarded annually
