Administrative Assistant - Billing & Collections

Position Summary
:

The Administrative Assistant will primarily function as support for the Electrical Service department’s functions and initiatives. This position will be responsible for all aspects of administrative duties in addition to supporting any interdepartmental functions and/or special projects.

Responsibilities

  • Create letterhead invoices for simple contract jobs.
  • Monitor accounts receivable and manage the collection process.
  • Create AIA invoices for long term contract jobs.
  • Prepare sales tax reports.
  • Third party billing through Taulia, Textura, Procore, etc.
  • Communicate with customers, project managers, and accounting regarding payment status.
  • Prepare reports.
  • Archive billing records.

Requirements
:

  • Ability to demonstrate key traits indicative of the HAYNES Way including integrity and professionalism.
  • Previous billing experience preferred.
  • Previous Accounts Receivable and collections experience preferred.
  • Willingness to interact with a variety of internal and external customers with a positive and service-oriented approach.
  • Proven approach to critical thinking and problem solving skills.
  • Willingness and ability to gain a working knowledge of general construction functions
  • Excellent computer skills to include Microsoft Office Suite and the ability to learn various internal software program applications.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple comprehensive tasks at one time.
