OverviewWe are seeking a highly organized and proactive Senior Administrative Coordinator to provide advanced administrative support to IPA’s Project Research Division (PRD) and its leadership team. This role is central to ensuring smooth day‑to‑day operations, managing complex schedules, coordinating meetings and events, and maintaining efficient administrative systems. The ideal candidate is detail‑oriented, an excellent communicator, and thrives in a collaborative, fast‑paced environment.
Key Responsibilities- Provide high‑level administrative support to department leaders and senior managers
- Manage calendars, coordinate meetings, and arrange travel and logistics
- Prepare, edit, and format business documents, reports, and proposals with strong attention to detail
- Support process‑focused tasks, including maintaining administrative systems, tracking workflows, and improving operational efficiency
- Serve as a central point of contact for internal teams and clients
- Back up and collaborate with other members of the administrative team to ensure seamless coverage and consistent service across the office
- Organize departmental activities, events, and communications
- Handle confidential information with discretion and professionalism
- Assist with project coordination and follow‑up to ensure timely completion of tasks
- Proven experience as a Senior Administrative Coordinator or in a similar high‑level administrative role
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent business writing, editing, and proposal‑writing skills
- Exceptional organizational and time‑management abilities, with the capacity to manage multiple priorities
- High attention to detail and accuracy in all work
- Strong interpersonal skills and the ability to work effectively with cross‑functional teams
- Demonstrated ability to anticipate needs, solve problems, and take initiative
- Experience supporting process‑driven or operations‑focused work
- Comfortable working in a dynamic environment with shifting priorities
- Professional demeanor and strong customer‑service orientated mindset
- Able to demonstrate intellectual curiosity and the ability to work independently
