Overview

Our company is seeking a Buyer Coordinator to oversee all aspects of the real estate transaction for buyers—from initial contact through contract—for a top-producing real estate team in Arvada. This role supports real estate agents in a fast-paced, growing market and is critical to ensuring timelines, compliance, and exceptional client experiences.

The ideal candidate thrives in a structured environment, enjoys completing standardized and repetitive processes, and consistently delivers high-quality customer service. This role requires strong organization, attention to detail, and joyful, kind client interactions.

Responsibilities Daily Responsibilities
  • Complete daily action plans as assigned to the role
  • Maintain consistent communication with clients and team members
  • Deliver exceptional customer service with professionalism and positivity
Buyer Search Period Responsibilities
  • Verify agency agreements are signed; follow up as needed, and enter in tracking databases
  • Create buyer prospect search criteria in MLS and ensure auto-searches are properly distributed
  • Review client MLS search results daily
  • Schedule and coordinate property showings
  • Keep clients informed with weekly updates
  • Follow up on all feedback requests
  • Monitor and ensure actions by all parties are progressing on time during negotiations
  • Close out buyer prospect search criteria in MLS and disable auto-searches once under contract
Under Contract & Transaction Management
  • Maintain transaction files in CTMe
  • Launch Buyer Closing plans in the CRM
  • Schedule and coordinate inspections, appraisals, closings, and other property access appointments
  • Communicate regularly with clients to ensure excellent service
  • Manage relationships with all parties involved in the transaction
  • Track timelines and ensure contractual obligations are met
  • Confirm all documents are routed to the correct parties
  • Maintain accurate files across CRM and brokerage platforms (CTMe, SharePoint, reZen)
  • Verify receipt and review of HOA documents
  • Confirm Inspection Resolution and/or Amendment items are completed, with receipts attached
  • Review settlement statements for accuracy
  • Review title commitments
  • Ensure file completeness for commissions, referrals, splits, and payments
  • Coordinate delivery of closing gifts
  • Manage client database information, including anniversaries, birthdays, wedding anniversaries, and categories
  • Complete timely file close-out upon transaction completion
Administrative & Team Support
  • Update contract documents annually or as needed to meet compliance laws
  • Complete administrative work as requested, including:
  • Attend weekly meetings and daily huddles
  • Participate in two weekend customer appreciation events
  • Attend semi-weekly retreats
  • Assist with CRM database management
  • Support training and onboarding of new staff and agents
Qualifications Qualifications & Experience Required /

Preferred Experience
  • Minimum of 1 year of real estate-related experience in a similar role (licensed or unlicensed)
  • High school diploma or equivalent experience preferred
  • Proficiency in Microsoft Office, especially Word and Excel
  • High level of comfort with technology and computer systems
  • Experience with Multiple Listing Service (MLS)
  • Experience with contact management programs
  • Strong attention to detail and adherence to timelines
  • Task-oriented and comfortable in a fast-paced office environment
  • Exceptional written and verbal communication skills
  • Strong customer service and daily client interaction skills
  • Excellent organizational and time management abilities
  • Strong problem-solving and multitasking skills
  • Working knowledge of office equipment (printers, copiers, etc.)
  • Demonstrated emotional intelligence in business situations
  • Flexibility and willingness to adapt to system changes
Additional Requirements
  • Current driver’s license and reliable vehicle
Compensation

$45,000 – $48,000 yearly
