Job Summary: Performs general secretarial and clerical tasks in a school. Responsibilities include preparing and processing forms, records, correspondence, memoranda, documents, and reports relating to school activities. This role involves frequent contact with students, parents, the general public, and school staff, as well as supportive assignments in guidance or library programs. The position is conducted under general supervision; employees are expected to exercise initiative and judgement.
EssentialDuties / Responsibilities
- Answers and screens telephone requests and complaints from parents, students, and central offices.
- Enrolls new students, maintains up-to-date student records, and withdraws records when students leave.
- Prepares and maintains office records of all students on class lists, student folders, card files, index cards, and attendance reports.
- Receives, screens, and distributes messages to teachers and principals; makes telephone calls at their request; receives and screens visitors and telephone calls.
- Types and distributes reports, letters, forms, lists, newsletters, memoranda, agendas, schedules, and other documents.
- Operates and maintains standard office machines and equipment such as facsimile (FAX) and copying devices.
- Receives, sorts, and distributes mail of a general nature.
- Provides first aid to students and assists in maintaining the confidential medical list in the absence of the Health Aide.
- Assists with the preparation of instructional requests, tests, and other materials as assigned.
- Maintains strict confidentiality regarding student records and personal data.
- Signs students in and out of school, issues tardy passes, and keeps absentee/tardy records.
- Schedules after‑school or outside building use; completes request forms and submits monthly reports.
- Performs other related duties as assigned within the same classification or lower.
Education: High School Diploma or Equivalency Certificate required.
Experience:
- One (1) year of recent general office experience performing progressively responsible tasks.
- If assigned to a bilingual program, candidates must be bilingual and biliterate in the target language (otherwise preferred). Equivalently, a combination of education and experience that provides the required knowledge, skills, and abilities is acceptable.
- Typing speed of at least forty (40) words per minute.
- Proficiency with personal computers, including word processing, spreadsheets, database management, and desktop publishing.
- Good knowledge of modern office practices, bookkeeping, business English, spelling, and commercial arithmetic.
- Ability to exercise courtesy and good judgment when dealing with students, parents, administrators, other employees, and the public.
