Position Summary

This position provides administrative and office support to the President's Office and its reporting offices, including the Office of Inclusion, Diversity, Equity, Access, and Leadership (IDEAL), the Office of the General Counsel, and the Office of the Chief Compliance and Fair Practices Officer.

Pay dates occur on the 7th and 22nd of each month. If those dates fall on a weekend, the pay date occurs on the Friday prior to the 7th and 22nd. As an employee of the college, you are eligible for a comprehensive benefits package.

In the best interest of the College, only individuals who are residents of Maryland or one of the following states will be eligible for employment at the college:
Delaware, Pennsylvania, Virginia, West Virginia or the District of Columbia. The college will annually review this restriction and, if appropriate, expand the list of states of employment eligibility.

Job Duties and Responsibilities
  • Manage calendars for the Chief Diversity, Equity, and Inclusion Officer (CDEIO), Chief Compliance and Fair Practices Officer (CCFPO), and General and Associate Counsel, including scheduling appointments, preparing and distributing materials, and arranging travel, transportation, and lodging as needed.
  • Provide administrative support to the President's Office and reporting offices, including composing, editing, and formatting correspondence, reports, and other official documents, as well as coordinating meetings and events.
  • Serve as back‑up support to the Executive Assistant to the President by answering and directing phone calls, greeting and assisting visitors, and maintaining a professional and welcoming office environment.
  • Organize and maintain filing systems for the President's Office and the Board of Trustees, including recommending documents for archiving and completing annual archiving in accordance with records management protocols.
  • Maintain office supplies and monitor inventory levels for the President's Office, the Board of Trustees, and reporting offices to support smooth and uninterrupted operations. Track and maintain an up‑to‑date list of institutional memberships and monitor associated expenses for the Office of the President and the Board of Trustees.
  • Create purchase requisitions and process invoice payments for the President's Office, the Board of Trustees, and reporting offices. Track expenses, maintain budget account records, monitor spending, prepare monthly financial reports, and submit invoices and payments in a timely manner.
  • Assist in the planning, coordination, and execution of special events, trainings, and programs organized by the President's Office, the Board of Trustees, and reporting offices, including logistics coordination, room reservations, catering arrangements, materials preparation, and on‑site support.
  • Support web content management and maintenance for the College's policy Internet pages and internal Intranet pages. Contribute to the development and ongoing maintenance of a campus wide compliance tracking system.
Required Qualifications
  • High School Diploma/GED
  • Minimum of 2 - 5 years of relevant administrative office experience
