The Sales Support Administrator will be responsible for providing critical support to Regional Account Executives (RAEs), ensuring they can maximize their field time and focus on actively selling within their territories. This role will manage day-to-day administrative tasks related to the sales process, including quoting, order entry, vendor communication, deal registration, customer communication, and sourcing products & pricing. Additionally, the Sales Support Representative will collaborate with internal teams and external partners to streamline processes and improve sales efficiency.

Primary

Responsibilities
  • Quoting & Estimating – Prepare quotes and estimates for products and services based on specifications provided by RAEs. Ensure accuracy and timely delivery of quotes to assist in closing deals.
  • Order Entry – Assist with processing and converting customer estimates to orders in Netsuite. Verify product availability and pricing to ensure accurate order fulfillment.
  • Creating Jobs & Tasks – Assist with creating Netsuite jobs and Paylocity tasks.
  • Product & Price Sourcing – Source products from partners and distributors and maintain up-to-date knowledge of inventory, availability and lead times.
  • Deal Registration – Register deals with vendors to secure best pricing and terms for the RAEs.
  • Vendor Communication – Serve as the liaison between RAEs and vendor partners. Facilitate communication regarding product availability, pricing, and special deals to assist in supporting customer proposals. Update:
    Continuously maintain vendor price lists: request and upload vendor price lists to the appropriate CRM and ERP as they are updated.
  • Contract Management – Maintain a working knowledge of relevant contracts, including pricing agreements, licensing terms, and service-level agreements. Ensure compliance with contract terms in all sales transactions.
  • Customer Support – Handle occasional direct communication with customers regarding order status, delivery timelines, and general inquiries to maintain a seamless customer experience.
Additional Responsibilities
  • Sales Pipeline Management Support – Assist RAEs with updating CRM systems, tracking opportunities, and ensuring all relevant data is up-to-date. Provide reports and insights on sales activity and forecasts to help prioritize opportunities.
  • Documentation & Reporting – Prepare and maintain sales documents, including contracts, quotes, purchase orders, and customer correspondence. Help compile reports for sales meetings and reviews.
  • Event Coordination – Support RAEs in organizing and preparing for customer meetings, presentations, and events. Assist with logistics for trade shows, conferences, and district meetings.
  • Internal Team Collaboration – Work closely with finance, operations, customer service and logistics teams to ensure smooth processing of orders and timely delivery to customers.
  • Customer Relationship Management Updates – Maintain and update customer data, sales notes, and activities in the CRM system to ensure RAEs have accurate, real-time information at all times.
  • Process Improvement – Identify and suggest improvements to existing sales processes to help the sales team operate more efficiently. Work on initiatives to reduce administrative tasks for RAEs.
  • Market & Product Research – Stay informed of industry trends, competitor offerings, and new products. Provide insights to RAEs to enhance their sales strategies.
Key

Skills and Qualifications
  • Previous Experience – 2+ years of experience in sales administration, customer service, or a related field. Experience in supporting outside sales teams is highly preferred.
  • Technical Skills – Proficiency in CRM software (e.g., Hubspot), Google Workspace, and Adobe. Familiarity with order entry and Netsuite is a plus.
  • Communication – Strong verbal and written communication skills. Able to interact professionally with customers, vendors, and internal stakeholders.
  • Attention to Detail – High level of accuracy in data entry, quoting, and documentation. Strong organizational skills and ability to multitask.
  • Problem-Solving – Ability to troubleshoot issues related to orders, vendor coordination, and customer inquiries with a proactive approach.
  • Teamwork – Collaborative mindset with the ability to work cross-functionally and support multiple RAEs simultaneously.
