We’re seeking a Brand & Events Coordinator to join our Marketing team and help bring Viscadia’s brand to life through thoughtful, consistent, high-quality experiences. This role is ideal for someone who loves turning plans into polished execution, thrives in a fast-paced professional services environment, and takes pride in the details that make events feel seamless—from timelines and vendor coordination to branded materials, swag, and on-site readiness.
You’ll collaborate closely with Marketing leadership, Business Development, and cross-functional teams to support trade shows, webinars, hosted events, and internal programs—ensuring each touchpoint reflects Viscadia’s tone, design standards, and professional presence in the market.
You will report into the Marketing function and work in close partnership with colleagues across our markets.

Key Responsibilities:
- Assist with planning and executing trade shows, webinars, hosted client events, round tables, and internal experiences, supporting coordination from planning through post-event follow-up.
- Coordinate event logistics including timelines, vendor communication, travel needs, shipping, booth materials, registration, catering, and on-site support requirements.
- Help manage event timelines and deliverables to ensure materials, assets, signage, and resources are completed on schedule.
- Support the creation, organization, and maintenance of brand assets such as booth signage, presentations, printed collateral, backdrops, tabletop displays, videos, and gift kits.
- Manage swag sourcing, including researching options, negotiating costs with vendors, coordinating production timelines, tracking inventory, and ensuring promotional items reflect brand standards.
- Ensure brand consistency across all marketing activities by reviewing swag, copy, visuals, event materials, and digital assets to confirm alignment with Viscadia’s tone, design guidelines, and client expectations.
- Maintain Viscadia’s inventory of branded assets (booth displays, banners, signage, printed collateral, swag, and gifting supplies), ensuring items are organized, replenished, stored properly, and ready to deploy.
- Partner with marketing team members to integrate event dates into our social media, email, and broader campaign calendar.
