Position Summary
The IT Program Coordinator supports the daily operational needs of the Information Technology department. Reporting directly to the Information Security and Compliance Manager, the Coordinator works closely with the organization’s Managed Services Provider to ensure internal staff is supported, issues are resolved, technology assets are tracked, and ongoing IT initiatives are supported.
Key Responsibilities Technical Support & User Assistance- Serve as a primary point of contact for user support tickets, ensuring timely, friendly, and effective resolution.
- Collaborate with NTIVA to triage, elevate, and manage ticket flow to ensure SLA adherence and departmental visibility. Also report back to your direct report any inconsistencies.
- Troubleshoot hardware, software, and network‑related issues for staff across all departments.
- Maintain, configure, and update company laptops, desktops, and peripheral devices.
- Support the lifecycle management of IT assets including imaging, deployment, repairs, upgrades and retirement of equipment.
- Service and troubleshoot network‑connected devices such as printers, scanners and conference‑room technology.
- Maintain the IT equipment storage room, ensuring organized, accurate inventory and secure management of surplus and active equipment.
- Support vendor scheduling for equipment servicing, conference‑room maintenance and warranty repairs.
- Prepare and provision workstations, user accounts, access permissions, desk setups and equipment for new hires.
- Support off‑boarding procedures including account disabling, equipment recovery and device sanitization.
- Ensure compliance with internal policies for access control, device management and documentation.
- Assist with the setup, testing and breakdown of AV systems for onsite and offsite meetings, including Zoom Gov, presenter tools, microphones, display systems and conference‑room equipment.
- Coordinate with event leads and internal teams to ensure smooth technology experiences during high‑visibility meetings and conferences.
- Assist in gathering technical information or documentation needed for cybersecurity or compliance initiatives.
- Maintain accurate inventory lists, user‑assignment logs and device lifecycle documents.
- Assist with minor policy‑adherence checks, security reminders and departmental communication when needed.
- Support compliance‑related activities including evidence collection, access audits and device configuration reviews.
- 1–3 years of experience in IT support, help desk, technical coordination or a related role.
- Strong understanding of Windows and macOS environments.
- Familiarity with Microsoft 365, Entra , Defender and modern device‑management tools.
- Basic knowledge of networking concepts, printers and device connectivity.
- Experience with ticketing systems (preferred: Zendesk, Fresh service or similar).
- Ability to troubleshoot hardware and software issues effectively.
- Strong organizational skills and ability to multitask in a fast‑paced environment.
- Excellent communication and customer‑service skills.
- Experience supporting AV technologies, Zoom/Zoom Gov or conference‑room equipment.
- Basic understanding of cybersecurity best practices, access management and compliance workflows.
- Experience coordinating with MSPs or external vendors.
- Interest in cybersecurity, information governance or IT program management.
- Works closely with the Information Security and Compliance Manager for guidance, escalation and project support.
- Collaborates with all internal departments to provide end‑user support and coordinate meeting or event technology needs.
- Supports leadership and staff during conferences, presentations and high‑priority programs.
- Partners with NDIA’s MSP to manage, elevate and resolve technical issues.
- Coordinates with hardware, software and AV vendors for maintenance, repairs and installations.
