The Employee Experience Coordinator is a highly visible, onsite role responsible for creating a welcoming, organized, and engaging workplace experience for employees and guests. Sitting at the front desk, this position serves as the first point of contact for all visitors while also supporting office operations, onboarding, employee events, and entry-level Human Resources and Talent Acquisition activities.

This is an ideal entry-level role for someone interested in building a career in HR, People Operations, or Talent, with hands-on exposure to the full employee lifecycle.

Key Responsibilities
  • Serve as the primary front desk presence by greeting all guests, managing visitor sign-in, coordinating guest access, and ensuring a professional and welcoming first impression
  • Manage building and office portal systems, including guest access, parking validations, conference room coordination, and rental space logistics as needed
  • Order, organize, and maintain office supplies and equipment, serving as the primary point of contact for identifying gaps and restocking needs
  • Oversee kitchen and snack areas by ordering, organizing, restocking, and maintaining cleanliness and presentation
  • Help maintain a clean, organized, and respectful shared workspace and follow up with employees as needed to support office standards
  • Coordinate onboarding logistics including swag, first-day materials, workstation setup, and new hire asset readiness such as laptops and monitors
  • Support new hire onboarding activities including scheduling orientation sessions, preparing onboarding materials, and ensuring a positive first-day experience
  • Coordinate office lunches, employee celebrations, and engagement events as directed by the Executive Assistant and/or Head of HR
  • Serve as backup support to the Executive Assistant, including calendar coordination, meeting logistics, and administrative tasks as needed
  • Support talent acquisition activities such as scheduling interviews, coordinating candidate onsite visits, preparing interview materials, and communicating logistics to candidates and interviewers
  • Assist with job posting administration, candidate tracking, sourcing, and maintaining applicant data
  • Support HR administrative tasks including employee data entry, document management, onboarding paperwork, and offboarding logistics
  • Assist with maintaining HR systems and employee records, ensuring data accuracy and confidentiality
  • Support People Operations initiatives and special projects as assigned by the Head of HR
Qualifications
  • High school diploma required; associate or bachelor’s degree preferred
  • Interest in Human Resources, People Operations, or Workplace Experience
  • Strong organizational skills and attention to detail
  • Excellent interpersonal and communication skills
  • Comfortable working in a fast-paced, highly collaborative environment
  • Ability to handle confidential information with discretion and professionalism
  • Proficient in basic office tools such as email, calendars, spreadsheets, and collaboration platforms
