Job Summary

We are seeking a self‑starter Administrative Assistant to support our project management team at Wagman Heavy Civil, Inc. Reporting to the Administrative Manager and working closely with the Project Manager and Project Engineer, you will provide contact, administrative, and clerical services to both internal and external stakeholders. The role includes preparing, coordinating, distributing, and tracking contract documents, reports, and communications.

This position is subject to drug testing and compliance policies associated with our status as a Federal Contractor.

Qualifications
  • High School graduate or G.E.D.;
    Bachelor’s Degree Preferred
  • Experience as an administrative assistant
  • Excellent verbal and written communication skills
  • Strong prioritization and organizational skills; ability to learn quickly
  • Knowledge of Viewpoint and OnBase is a plus
  • Bilingual a plus
Essential Functions
  • Provide contract and administrative support
  • Compose, proofread, and edit correspondence
  • Gather data, input, develop, and distribute reports
  • Develop and maintain tracking and compliance systems
  • Assist with ordering, receiving, invoicing, and accounts payable for materials and supplies
  • Serve as point of contact for company electronic devices, including ordering, upgrading, billing, and troubleshooting
  • Order and maintain office supply inventory and set up accounts
  • Problem‑solve and maintain copiers, fax machines, plotters, etc.
  • Manage company mail (receiving, opening, routing, Fed Ex/UPS online orders)
  • Handle inquiries and direct incoming phone calls using the multi‑line system
Physical Requirements
  • Lift up to 30 pounds from ground to waist level; bend, squat, and kneel occasionally
  • Perform simple grasping and fine manipulation tasks; correct vision and hearing required
  • Sit for a major portion of an 8‑hour shift, with standing and walking as needed
  • Depress computer keyboard keys and/or calculator
  • Pick up, hold, and lay down a telephone handset
  • Reach, lift, and stretch throughout the work day
  • Clear and comprehensible speech required for adequate communication
