The Opportunity
Safran Federal Systems is seeking a highly organized and proactive Administrative Support Specialist to serve as the central coordination point for office operations and executive support.
This role focuses on delivering exceptional administrative excellence and operational coordination across the organization. The individual will manage front-office activities, support executives with scheduling and presentations, assist with onboarding logistics, and help ensure a polished, well‑run workplace.

How I will Contribute- Manage daily office operations to ensure an organized, efficient, and professional environment.
- Provide high‑level administrative support to 1-2 executives, including scheduling, correspondence, and meeting coordination.
- Prioritize and manage calendars with an understanding of business priorities and critical meetings.
- Develop a deep understanding of executive working styles and anticipate needs to provide proactive support.
- Coordinate travel arrangements, prepare expense reports, and ensure logistics for quarterly travel are complete.
- Support internal and external meetings through planning, note‑taking, and tracking of action items.
- Create and edit PowerPoint presentations and reports with attention to clarity, visual impact, and accuracy.
- Assist executives with a variety of tasks, ensuring timely follow‑up and accurate completion.
- High school diploma required; associate’s degree desired.
- Past experience not required, although 2+ years of administrative, IT, or security‑related experience a plus.
- Proficiency in Microsoft Office, especially Outlook, PowerPoint, and Excel.
- Strong problem‑solving skills with the ability to make informed decisions.
- Willingness to learn new software systems, processes, and security/IT responsibilities.
- Ability to adapt to changing priorities and support multiple teams simultaneously.
- Customer‑service mindset with a positive, proactive, and collaborative approach.
- Strong attention to detail and organizational skills.
- Professional verbal and written communication skills.
- Ability to maintain confidentiality and exercise discretion.
- Flexible and adaptable to changing priorities.
- The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Must be able to remain in a stationary position 50% of the time.
