We are looking for a full-time Administrative Officer
. In this role, you will be responsible for the administration and management of the administrative services functions for the Office of the Commonwealth’s Attorney comprised of 47 full-time employees. This includes providing professional assistance to the Commonwealth’s Attorney with planning, programming, budgeting, and organizing the administrative activities of the department.
What You Will Do As a member of our diverse and committed team, you will develop and direct an integrated administrative support system which includes all office functions and activities involving personnel, fiscal and budget policies, procedures, and transactions policies, in addition to coordinating high school and college interns and serving as the financial officer for grants received by the office.
Broad areas of responsibility are noted below.
- Perform and supervise administrative functions and activities involving personnel, fiscal, and budget policies, procedures, and transactions.
- Supervise a 15-member support team that includes administrative professionals, paralegals, a data analyst, IT support, and reception.
- Serve as financial officer for grants received by the office.
- Coordinate high school/college internships.
- Manage supply and procurement functions.
Specific families of tasks include:
ADMINISTRATIVE SUPPORT- Monitors and evaluates the efficiency and effectiveness of the department's internal administrative support system.
- Identifies organizational, programmatic and logistical needs in the administrative support system and recommends solutions.
- Provides leadership and direction in recommending, developing, coordinating and implementing new and/or revised administrative support policies and procedures.
- Interprets policies and procedures.
- Serves as the department Financial Officer; approves and/or authorizes expenditures.
- Participates in the annual budget planning and preparation sessions.
- Coordinates projections for all administrative expenditures including personnel and non-personnel expenses in conjunction with the Commonwealth’s Attorney and County staff.
- Reviews, monitors and revises all program budgets; monitors and controls operating budget; ensures adherence to approved budgetary standards and guidelines.
- Serves as contract administrator for third-party services and purchases.
- Provides direct supervision for support team employees Assigns, reviews, and evaluates work of professional and administrative staff.
- Reviews work of assigned employees;
Conducts annual performance appraisal; disciplines staff; orients and counsels employees; and oversees training. - Participates in recruitment and selection of employees.
- Initiates, coordinates and monitors all departmental personnel transactions.
- Serves as designated representative of the Commonwealth’s Attorney for disciplinary actions and recruitments.
- Coordinates with other departments, agencies and resource staff in the resolution of issues and problems; develops and presents alternative solutions.
