We are looking for a talented Senior Executive Admirative and Communications Specialist in Arlington, TX.
Job SummaryThe Executive Administrative & Communications Specialist acts as a trusted extension of senior management, ensuring a seamless and positive experience for internal and external stakeholders. This role provides high-level administrative support, manages complex schedules and communications, and prepares executive‑level materials. The specialist functions as a representative of senior leadership, maintaining confidentiality, anticipating needs, and facilitating smooth operations across the organization.
Executive Support- Manage calendars, travel arrangements, expense reports, and meeting logistics.
- Prepare and edit documents, memos, and official correspondence.
- Maintain confidentiality of sensitive information and ensure smooth communication between senior leadership and stakeholders.
- Coordinate and schedule team meetings, including agenda preparation and distribution.
- Arrange meeting logistics (venue, virtual links, catering, materials).
- Capture and distribute meeting notes and action items promptly.
- Draft and edit speeches, presentations, and briefing packs for executive events.
- Coordinate with stakeholders to finalize messaging and visuals for speeches and marketing campaigns.
- Ensure timely delivery and adherence to branding and communication standards.
- Support project planning, scheduling, and resource coordination.
- Track deliverables, budgets, and timelines; prepare status reports.
- Facilitate communication between project teams and leadership.
- Design and prepare high‑quality slide decks for executive briefings, internal meetings, and external events.
- Tailor content to audience needs, ensuring clarity and impact.
- Apply storytelling techniques and data visualization best practices.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time‑management skills.
- Ability to anticipate needs and act with discretion.
- Exceptional written and verbal communication skills.
- Experience in speech writing and marketing content development.
- Understanding of branding and corporate communication principles.
- Familiarity with project management tools and methodologies (e.g., Agile, DMAIC).
- Skilled in planning and executing team meetings effectively.
- Ability to manage multiple priorities and stakeholders.
- Skilled in creating visually compelling presentations.
- Knowledge of design principles and ability to simplify complex information.
- Comfort with tight deadlines and iterative feedback.
- Bachelor’s degree in Business Administration, Communications, or related field.
- 1–3 years of experience in executive support or communications.
- Certification in project management (PMP, Six‑Sigma or equivalent) is a plus.
