Data Entry & Customer Support Specialist

Position Overview

This role supports daily office and operational functions by ensuring information is accurately recorded, maintained, and processed in a fast‑paced, customer‑facing environment. The position requires strong attention to detail, professionalism, and the ability to manage both administrative and customer service responsibilities with minimal supervision.

Key Responsibilities
  • Enter, update, and maintain customer and account information within internal systems with a high level of accuracy and efficiency.
  • Review incoming documentation to confirm completeness, readability, and compliance with established guidelines; resolve discrepancies as needed.
  • Provide in‑person and electronic customer assistance related to scheduling, required documentation, and general process questions.
  • Ensure all records and customer information are handled in accordance with confidentiality, data integrity, and security standards.
  • Perform clerical tasks that require independent judgment, accuracy, and adherence to deadlines.
  • Verify documentation and supporting materials to ensure correctness prior to processing.
  • Prepare routine correspondence, emails, and system entries using multiple office platforms.
  • Conduct basic research across internal systems to locate or confirm information.
  • Maintain organized filing systems and retrieve records upon request.
  • Operate standard office equipment including computers, printers, scanners, copiers, and fax machines.
  • Assist with general office functions such as scanning, copying, filing, and document distribution.
  • Follow all internal procedures and operational guidelines consistently.
  • Support customer needs throughout the day, including moving within the office or facility as required.
  • Complete additional tasks and assignments as directed by management.
Required Qualifications & Experience
  • Minimum of 2 years of experience in an office environment performing administrative, clerical, or customer‑facing duties.
  • Prior experience assisting customers in person in a professional setting.
  • Experience related to vehicle, property, or logistics coordination is preferred but not required.
  • Strong computer proficiency, including the ability to navigate systems and perform online research.
  • Working knowledge of Microsoft Word, Excel, and PowerPoint.
  • Ability to type at least 50 words per minute with accuracy.
  • High school diploma or equivalent required.
  • Excellent communication skills, both written and verbal, in English.
  • Proven ability to multitask, prioritize workload, and manage time effectively.
  • Highly organized, detail‑oriented, and dependable.
  • Able to take direction, work independently, and maintain professionalism in a busy environment.
  • Demonstrated reliability, strong attendance, and consistent performance.
