The Physician Liaison Assistant supports the marketing and communications team by performing administrative tasks, coordinating marketing efforts, and assisting with promotional activities. The role contributes to executing our overall marketing strategy by managing creative projects, maintaining marketing materials, and supporting both internal and external communications.
ESSENTIAL FUNCTIONS- Collaborate with the digital marketing team to send out email blasts/newsletters to accounts and/or MSJ team for updates.
- Help maintain and update MSJ social media and content gathering, including assisting with videography for the office.
- Distribute marketing reports (top 20 accounts, daily stats, intake reports, etc.).
- Create monthly calendars showing the doctors’ schedules for each week.
- Monitor MSJ clinic Google reviews and advise management on responses.
- Complete checklists for new physicians (add to website, create business cards, schedule headshots, etc.).
- Update all necessary information (address, name, number, etc.) in databases.
- Ensure consistency of information across all platforms (Camino, master maps, master contact lists, Salesforce, etc.).
- Assist marketers in finding new referral leads and keep databases updated with follow‑ups.
- Add new law firms or potential accounts to Salesforce and notify the designated marketer.
- Create swag items and marketing kits.
- Accompany marketers to events, helping to promote our offices and set up/break down displays.
- Organize business cards and track account follow‑ups.
- Send follow‑up emails after initial meetings with accounts.
- Order breakfast/lunch for accounts and assist with drop‑offs when needed.
- Monitor marketing inventory and order supplies for boxes/bags (snacks, popcorn, etc.).
- Plan, pick up, and set up staff appreciation lunches/breakfasts and holiday/party events for all offices.
- Assist with managing outgoing referrals, identify and maintain relationships with external specialists, and gather preferences for new referral sources.
- Create envelopes with MSJ info and mail them to new referral sources.
- Enthusiastic and adaptable.
- Effective written and verbal communication skills.
- Fluent in Microsoft Office Suite and/or other electronic formats (Microsoft Works, Google Spreadsheets, Emailing Systems).
- Ability to work independently without supervision and track daily interactions with all business relationships.
- Strong coordination, analysis, observation, decision‑making, and deadline‑meeting skills in a detail‑oriented manner.
- Availability to work early, late, and occasionally on weekends.
- High School diploma or GED.
- Valid Texas driver’s license.

Compensation will be determined by education, experience, knowledge, skills, and abilities of the applicant, internal equity, and market data.
