The Production / Distribution Manager is responsible for the daily, shift to shift operation and oversight of Processing and Distribution. The Production Manager leads the team in webpay processing, payroll printing, packaging and distribution, maintaining control through delivery to client. The DM will manage the day to day workload while proactively responding to increases in client count, payroll files and payroll packages shipped by making recommendations to the Director of Distribution.
The DM will maintain industry knowledge on print and finishing technologies. The DM will oversee an operation producing over 1 million checks per month, and over 18,000 packages per month, as well as a year-end production project of over 800,000 W2s and 10,000 year-end packages.
- Interview and hire qualified staff, capable of delivering high quality work on compressed timelines. Develop and deploy an effective training program to increase proficiency with processes and running printers, sealers and inserters. Provide training and exposure for staff to all Paylocity operations and the interactions between Distribution and other departments.
- Lead and coordinate the production daily activities of a brand new print center.
- Manage a staff of Processors, Supervisor, Leads and Associates. Ensure clean, orderly, safe environments in both locations with a minimum of workplace accidents.
- Manage the delivery of payrolls at a high quality level (99.9% or better).
- Assist Service with tracking and delivery issues and corrective action.
- Interface with suppliers of mission critical resources such as check stock, printers, finishing devices and shipping services. Insure that Paylocity’s best interests are represented in each interaction with a supplier.
- Ensure the nightly audit is done accurately and thoroughly and corrective action taken on issues identified on the audit.
- Respond expediently to ITSs for mispacked payrolls and remediate the issue by working with Service.
- Provide development opportunities to staff via training and special projects.
- Plan, prepare and execute the W2 production, including hiring temporary staff, scheduling temp and permanent staff, and monitoring progress, taking corrective action as appropriate to meet schedule goal.
- Ensure staff is available to produce and ship payrolls during severe weather or company functions when the rest of Paylocity staff is not on site or has been sent home.
- Assist the Director with budgeting and ad hoc projects.
- Other duties as assigned.
- Familiarity with payroll processing applications, Microsoft programs.
- Experienced with SAS
70 SASE compliance. - Industry experience in digital print and fulfillment or payroll production, in a tightly controlled, audited environment.
- Experience managing teams and managing multiple locations. Experienced in conflict resolution and team building.
- Experience with staff development.
- Experience with continuous improvement or six sigma initiatives.
- Accountable for his/her actions as well as the actions of the Distribution team.
