Patient Service Representative & Insurance Verifier, Rehab Services – Part‑time

Hourly Pay
: $19.89 – $28.84 (determined by experience and other factors).

Job Summary

Under general supervision and according to established policies and procedures, responsible for providing out‑patient rehab patients with timely and accurate pre‑registrations, registrations, order management, charge capture, and medical information systems. Collect, analyze, and record demographic, insurance/financial, and clinical data from multiple sources and obtain other information and signatures necessary for the above processes. Screen for third‑party eligibility and enter medical necessity coding to ensure accurate payment is secured.

Interact in a customer‑focused manner to meet the needs of patients and their families.

What You Will Do
  • Perform patient registration functions in a courteous and professional manner according to established policies and procedures.
  • Greet and register patients.
  • Collect and analyze all required data to pre‑register and register patients. Interact with patients, representatives, employers, and others in person or over the telephone, review new and previously recorded information, analyze and electronically record data, and process transactions into the hospital computer system.
  • Use on‑line physician ordering systems to retrieve and interpret physician orders/HMO authorizations for service and/or appointment schedules, enter appropriate codes into the computer system, and contact physician office staff for additional clinical information.
  • Explain, secure, and witness all required signatures. Complete the Medicare Secondary Payer (MSP) questionnaire when applicable.
  • Scan insurance cards, IDs, insurance referrals and authorizations, consents, physician orders, HIPAA, Medicare ABN, and other regulatory paperwork into the hospital’s document imaging system. Prepare required forms, documents, and reports including labels, medical record forms, Medicare ABN, and other special documents. Produce and distribute these as appropriate.
  • Escort patients to and from treatment areas as needed.
  • Process generated paperwork, assemble and disassemble patient charts as required, and prepare charts for Medical Records pick‑up. Scan medical records in accordance with the guidelines set by the Medical Records Department.
  • Prepare and maintain logs and reports of various data for patient registrations.
  • Convert to manual processes and procedures for scheduled and unscheduled computer system downtimes, organize and maintain all data to ensure a prompt and accurate recovery.
  • Reconcile daily cash receipts with the day’s cash activity, credit card journal report, and computer cash drawer.
  • Attend mandatory staff meetings, maintain familiarity with all memos, emails, and pertinent information regarding policy and procedure updates, retain them for future reference, understand changes, and incorporate them into personal routines.
  • Communicate with Supervisor or Director any problems or questions pertaining to duties and established policies and procedures or revised protocols.
  • Receive, properly respond to, or redirect telephone, electronic, and in‑person inquiries from patients, representatives, payers, physicians and their staff, internal departments, and other persons and entities. Diffuse tense situations, problem‑solve, keep situations from escalating, and maintain confidentiality of patients’ personal health information.
  • Perform related duties as assigned, including but not limited to filing, assisting patients to complete the computerized rehab outcome database, sorting mail, photocopying information, replenishing supplies, and organizing/cleaning/disinfecting the work area before shift completion and performing next‑day set‑up, including appointment confirmation, pre‑registrations, and chart preparation.
