Overview
JOB SUMMARY:
Supports the Finance Director in maintaining accurate financial records and ensuring compliance with applicable regulations. This role is responsible for managing daily financial transactions, accounts payable and receivable, payroll reporting, and month-end close processes. The position requires strong attention to detail, proficiency in accounting software, and familiarity with multiple regulatory standards.
- General Accounting & Ledger Maintenance:
Record, categorize, and reconcile financial transactions in accordance with GAAP and Head Start fiscal standards. Maintain accurate general ledger entries and supporting documentation. Assist in preparing internal financial reports and statements for audit and compliance purposes. - Accounts Payable (AP):
Process vendor invoices with proper coding and approvals. Ensure timely payments via checks, ACH, or electronic methods. Maintain vendor records and resolve discrepancies. Reconcile AP aging and maintain accruals. - Accounts Receivable (AR):
Generate and send invoices per contract terms. Monitor and apply incoming payments; manage collections. Maintain AR aging and reconcile customer accounts monthly. - Payroll Reporting:
Coordinate payroll processing with third-party providers. Reconcile payroll entries to the general ledger. Ensure compliance with federal and state payroll tax filings (e.g., W-2s, 1099s). - Month-End Close Support:
Prepare journal entries, including accruals and prepaid. Reconcile bank, credit card, and key balance sheet accounts. Assist in financial reporting and audit preparation. - Regulatory Compliance & Documentation:
Ensure financial practices align with Head Start Program Performance Standards and Alaska licensing requirements. Maintain documentation for audits, inspections, and licensing reviews. Support the Finance Director in preparing reports for federal, state, and municipal agencies. - Other Duties:
Perform additional tasks assigned to support financial operations and organizational goals.
- Familiarity with Alaska Native/American Indian heritage and ability to communicate effectively with families in the CINHS program
- Proficiency in accounting software (e.g., Quick Books)
- Experience with payroll systems (preferred Paychex)
- Strong understanding of GAAP and accrual-based accounting
- High attention to detail, confidentiality, and accuracy
- Excellent time management and communication skills
- Ability to learn applicable childcare licensing and Head Start regulations.
- High school diploma or GED
- Minimum 2 years of relevant experience in bookkeeping, AP/AR, or payroll
- CPR/ First Aid certification within six (6) months of hire
- Successful completion of TB and hepatitis screenings and required vaccinations
- Must be able to pass a criminal background check as required by state and federal law
- Certification in Accounting, Bookkeeping, or Payroll (e.g., NACPB, AIPB, CPB)
- Associate, or bachelor’s degree in accounting, Finance, or related field OR equivalent training and experience, such as three (3) years’ experience performing Accounting, Bookkeeping, or Payroll, and payroll/purchasing duties
- Experience working in a multi-client, multi-entity, or fast-paced environment
- Comfortable with cloud-based tools, Excel/Google Sheets, and workflow automation
- Prior experience in industries such as professional services, nonprofit, or construction is a plus
- Current Alaska driver’s license must be at least 21 years old with a clean driving record and proof of insurance.
This position requires the ability to work in both indoor and outdoor environments, with exposure to varied weather conditions. While travel is minimal, employees may occasionally be required to travel for work-related purposes. The role involves potential exposure to infectious diseases and requires adherence to all safety and health protocols. Employees may encounter emotionally charged situations and must be prepared to interact with frustrated or upset co-workers, parents, and children in a sometimes hostile or high-stress environment.
Physical demands include frequent bending, stooping, standing for extended periods, and repetitive reaching motions. Lifting and carrying items weighing up to 50 pounds may be required.
