School Receptionist

GENERAL STATEMENT OF RESPONSIBILITIESUnder the direction of an assigned supervisor, performs responsible school office support functions in the day-to-day operations of a school administration office. Duties would require a basic knowledge of school office procedures, secretarial skills, and the ability to handle confidential student information. Performance of these responsibilities requires accuracy, attention to details, discretion, good communication skills, and sound judgment.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Perform a wide variety of customer service and clerical work related to the functions and activities.
- Provides information and assistance to school personnel or the public in a variety of matters requiring a detailed knowledge of rules, procedures, policies, precedents and activities.
- Establishes and maintains filing systems.
- Maintains various databases relevant to area of assignment.
- Assists parents with the completion of registration materials.
- Provides brief orientation to new parents and students.
- May support school office team in processing forms, applications, documents, records, and other paperwork.
- Greets and assists visitors to the office including parents, students, faculty, staff, administrators and others; provides information and directions as appropriate.
- Responds to requests for information of a specialized or confidential nature with discretion and judgment in explaining regulations and procedures.
- May assist with the distribution, packaging, and filing of tests as assigned.
- May receive, sort and distribute incoming mail.
- Performs other duties as assigned that support the overall objective of the position.
- Knowledge of modern office practices, procedures and equipment.
- Knowledge of terminology, policies, practices and procedures of the area to which assigned.
- Knowledge of record keeping, staff administration and confidentiality.
- Knowledge of proper English usage, grammar, spelling, punctuation and basic arithmetic skills.
- Knowledge of telephone techniques and etiquette.
- Knowledgeable of district organization, operations, policies, and objectives.
- Skilled in oral and written communications.
- Skilled in operation of a computer and assigned office equipment.
- Skilled in the coordination and performance of work with speed and accuracy.
- Skilled in planning, organizing and prioritizing work in order to meet schedules and timelines.
- Skilled in communicating with students, staff, parents and the public using tact, diplomacy and courtesy in a manner that reflects positively on the school and the District.
Able to perform the following physical requirements of the position with or without reasonable accommodation: critical sensory requirements include general vision, corrected to 20/20, hear or listen in the normal range (corrected) and speak and give directions clearly. Able to walk, sit, stand, kneel, crouch, crawl, reach, lift (exerting force up to 50 pounds), carry, push, pull or otherwise move objects up to 125 lbs.
MINIMUMQUALIFICATIONS
- High School Diploma or equivalent to graduation from high school, preferably supplemented by coursework in office skills.
- Minimum of two years experience of progressively responsible secretarial and clerical experience, preferably in a school setting is desired.
- Bilingual candidates preferred.
- IVP Fingerprint Clearance card
