Position Summary

Incumbent initiates, processes and completes routine payroll and related personnel transaction documents for specific categories of Cal Poly Humboldt employees. Incumbent ensures that all information on these transaction documents is accurate and conforms to all relevant regulations, and provides information and assistance on payroll processing matters to faculty, staff, students, and auxiliary employees.

Key Responsibilities
  • Student Payroll Processing – 35%

    Responsible for processing all student classified payroll. This includes adherence to all state, CSU and union established policies and procedures. The task handles the entire cycle from the management of appointment documents within Content, dual keying of onboarding documents collected via Human Resources, to a final delivery of warrants to the cashiering office for distribution. Also monitors hours worked by students in compliance with regulation that students not exceed 20 hours of work a week while classes are in session.

  • Academic Student Appointment Processing – 15%

    Coordinating with Payroll Tech II in the review and appointment of all contractual data pushed to payroll via Academic Personnel Services (APS) for Teaching Assistant and Graduate Assistant academic student employees. Completes the life cycle of the payment from entry to upload to payment reconciliation and delivery of warrants.

  • Data Processing – Onboarding Documents – 30%

    Primary processor for all onboarding documents collected from Human Resources, including SPARS, EARS, EIFs, I-9 documents. Flags non‑resident onboarding documentation for more detailed inspection by the SR payroll technician III for full tax analysis. Maintains data in Content document manager, People Soft HRIS, and PIMS, the State Controller’s Office official system of record. Also processes all direct deposit initiatives and changes while keeping up to date with fraud protection policies.

  • Parking Deduction – Accounts Receivable Management & Support – 5%

    Works closely with Student Financial Services for setup, changes, termination, refunds, and collection of retro‑automatic parking deductions per union and campus regulations, and assists in managing all campus and state accounts receivables established by Benefits & Payroll staff.

  • General Office Support Front Desk Management - 10%

    Functions as the primary point of initial contact for all phone, email and foot traffic within the Payroll/Benefits office suite, requiring a cursory understanding of all aspects of payroll to answer general questions and direct calls requiring a subject matter expert.

  • Other Duties as Assigned – 5%

    Includes vacation and sick coverage for Payroll Tech II and impromptu projects and data gathering.

  • Ability to acquire working knowledge of, and independently select and apply, CSU policies, procedures, programs, guidelines, applicable state and federal laws, educational codes, and collective bargaining agreements.
  • Ability to audit and reconcile data; interpret and apply written rules and regulations; establish and maintain effective working relationships; exercise tact, courtesy and good judgment; use current computer word processing and spreadsheet software; perform mathematical calculations; accurately enter data; follow oral and written instructions; communicate effectively; and read and write at an appropriate level to the position.
