Alpha-Lumina is seeking a full-time, on-site Project Coordinator to join our team in Arcadia, CA. This role is ideal for someone who is dependable, detail-oriented, and proactive, with excellent communication and organizational skills. As a key member of our operations team, you will manage client communications, coordinate project workflows, and ensure smooth collaboration between internal departments and overseas partners.

The Project Coordinator will play an essential role in maintaining customer satisfaction and operational efficiency, supporting projects from initial client contact through product delivery.

Responsibilities
  • Client Communication & Relationship Management
  • Serve as the first point of contact for clients, handling inquiries via phone, email, and in-person meetings.
  • Manage client relationships by providing timely updates on projects, invoices, and logistics.
  • Follow up on approvals, signoffs, payments, and pending items to ensure project continuity.
  • Project & Operations Coordination
  • Prepare and manage all documentation, including quotations, invoices, purchase orders, and product specifications.
  • Track order progress, payment collections, sample and swatch deliveries, and shipping schedules.
  • Communicate daily with the team in China and Hong Kong to ensure projects are delivered on schedule and meet quality standards.
  • Maintain accurate digital and physical records of all project activities.
  • Process Improvement & Team Collaboration
  • Coordinate across departments to resolve issues and remove bottlenecks.
  • Collect client feedback to inform management about product performance and service improvements.
  • Support internal process optimization to enhance efficiency and customer satisfaction.
  • Administrative & Brand Support
  • Assist with general office operations and vendor coordination as needed.
  • Uphold Alpha-Lumina’s professional standards and contribute to positive client experiences.
Qualifications
  • Education:

    Bachelor’s degree in Business, Communications, or a related field.
  • Experience:

    At least 2 years of experience in project coordination, customer service, or related operations. Experience in e-commerce, procurement, or import/export is preferred.
  • Language:
    Fluency in English and Mandarin or Cantonese (spoken and written) is required.
  • Skills:
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Strong communication, problem-solving, and organizational abilities.
  • High attention to detail and accuracy in documentation.
  • Ability to manage multiple priorities in a fast-paced environment.
  • A positive attitude, team-oriented mindset, and strong work ethic.
  • Other Requirements:
    Occasional local travel may be required for client or vendor meetings.
  • Annual Salary: $42,000–$58,000 (based on experience and performance)
  • Schedule:

    Full-time, 40 hours per week
  • Paid holidays and 17 total paid days off annually (vacation, sick, personal)
  • Mileage reimbursement for approved business travel
