The Client Service Administrator (CSA) position is critical for achieving leverage of the advisor’s time. This role supports daily of the practice, including responding to client service requests, completing post‑meeting work, maintaining client information, and performing other administrative tasks as assigned. The Practice Support Associate reports to and is employed by Heart of the Valley Wealth Advisors.
This position can be remote or hybrid in the Appleton area. Hours are Monday – Friday, 8 a.m. to 4 p.m. CST. Compensation ranges between $60,000‑70,000 annually, depending upon experience and licensure held. Benefits include: 401K plus match, PTO, holiday pay, and medical benefits.
Responsibilities- Oversee projects, administration of various programs, and processing functions as needed
- Assist with preparation and follow‑up for client meetings
- Attend client meetings and take notes
- Research and respond to client inquiries
- Answer basic questions for clients
- Fill out Variable Life/Variable Annuity/Mutual Fund/Brokerage applications
- Show clients how to access their accounts and read statements
- Handle requests for transfers of funds in and out of accounts
- Fill out necessary forms for opening or maintaining accounts
- Set up and retrieve reports in the portfolio management system
- Other responsibilities as assigned by the team leadership
- Previous industry experience required (robust internship acceptable)
- Securities (6/63, 7/66, or 7/63 & 65) and Life, Health, and Annuity registration required before onboarding
- Expert knowledge of Office applications
- Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
- Ability to maintain integrity of sensitive/confidential information
As part of Heart of the Valley Wealth Advisors' recruiting, hiring, and contracting process, a verification of a candidate's background will be made to complete the process. Fingerprints will be required as part of the FINRA registration process for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
