- Access, Community Engagement, and Regional Operations – Fox Valley Technical College
This position provides high‑level administrative support and technical assistance to the Vice President of the division and managers of International Student Services. The role performs confidential administrative and programmatic functions, coordinates travel and documentation, and supports regional operations and international student engagement initiatives.
Essential Functions and Responsibilities- Maintain calendars, coordinate travel, and process department paperwork for the Vice President and International Student Services managers.
- Compose, edit, and proofread confidential correspondence, reports, agendas, and presentations to meet professional standards.
- Prepare confidential materials for grievances, equal opportunity matters, and strategic discussions.
- Deliver excellent internal and external customer service, responding to inquiries and scheduling appointments.
- Support marketing, communication, and social media initiatives for international student engagement and community outreach.
- Lead orientation and workshop planning, field trips, mentorship programs, and end‑of‑year events for international students.
- Update Workday student records, run reports, and ensure data accuracy for applications, enrollment, and retention metrics.
- Coordinate departmental invoices, reimbursements, requisitions, and P‑card transactions; reconcile P‑card activities.
- Manage contracts, memorandums of understanding, and other departmental partnerships.
- Serve as front desk for International Student Services and support advisory committees, study abroad collaborations, and community engagement initiatives.
- Maintain and improve division SharePoint, related web pages, and PowerPoint resource library.
- Create, run, and analyze disaggregated data reports and prepare specialized informational reports.
- Schedule departmental meetings, create agendas, take minutes, and develop related communications.
- Assist with arrival, departure, and housing logistics for international students (airport pickups, residence coordination, supply management).
- Monitor and coordinate budgets, prepare annual budgets, and ensure compliance with records retention requirements.
- Perform other projects and duties as needed or assigned by supervisor.
- Represent FVTC at internal and external meetings and events as required.
- Serve as backup support to division staff as necessary.
- Associate’s degree in administrative, human resources, or related field.
- Four to five years of related experience in a fast‑paced, open environment.
- Advanced skills in Microsoft Word, PowerPoint, and Excel, including proficient research skills.
- SharePoint maintenance and design experience.
- Workday/People Soft experience.
- Advanced oral and written communication skills with strong composition abilities.
- Spanish and/or Hmong language ability preferred.
- Valid driver’s license and acceptable motor vehicle record check.
Work must be completed in person with occasional opportunities for virtual work. Work environment may change based upon college needs.
Physical Requirements- Sitting – extended periods while using computer systems.
- Mobility – occasional mobility for meetings, tours, or events.
- Lifting and carrying – occasional or continuous lifting of light to moderate items (50–60 lbs).
- Climbing – ability to climb stairs or ladders.
- Fine motor skills – precise hand movements for writing, demonstrations, or computer use.
- Repetitive motions – typing without discomfort or injury.
- Communication – clear verbal and written communication skills.
- Travel – off‑site work and travel required.
- Driving – valid driver’s license required if driving responsibilities exist.

Salary and ApplicationStarting range: $24.53–$28.86 per hour. Internal applicants receive wages based on applicable guidelines.
