General Purpose of the JobThe main goal of the Accounting Associate is a cross functional role which will assist the accounting department in both Accounts Receivable and Accounts Payable areas as well as back-up duties for the Controller and support Director of Welding Positioners with customer orders and related tasks.
Summary of Major Responsibilities/Duties- Process invoices for timely payment to capitalize on vendor discounts
- Works with vendors and purchasing and receiving team to answer questions and resolve problems including material returns
- Reconciling accounts payable and voucher payable report to general ledger
- Responsible for reviewing and processing company credit card expenses ensuring proper supporting documentation and approvals
- Analyze invoices for applicable sales tax to use for monthly tax reporting
- Maintain files for the accounts payable department by scanning info to keep records up to date and answer other job-related questions
- Prepare 1099 reporting at year end to ensure annual compliance for the business
- Mobile deposits for checking accounts
- Apply customer cash receipts
- Invoice Customers and assist Project Accountant with day-to-day tasks
- Initiate Customer orders for Lease Agreements, Positioner & Gripper Sales and repairs as requested by Director of Welding Positioners
- Assist with inventory control in Syteline for positioners and other areas of shop
- Create general ledger journal entries as directed by the Controller
- Gather data as needed for annual audits
- Provide other supporting functions to both departments as needed to ensure departments success
- Conducts work safely and follow all safety procedures. Rejects work that is not safe and discusses the situation with supervisor.
Skills and Abilities
Required
- Associate degree or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondents. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to carry out detailed written or oral instructions.
- Ability to work as a cohesive member within the department and company.
- Math, computers, and calculator knowledge
