JOB SUMMARY
We are seeking a highly organized Receptionist / Administrative Assistant who thrives in a fast-paced environment and enjoys working with people. This role serves as the first point of contact for the company while also providing administrative support to a Vice President and leadership team.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Front Desk & Office Support
• Greet and welcome guests, vendors, and visitors in a professional and friendly manner.
• Answer, screen, and direct incoming phone calls using a multi-line system.
• Maintain a clean, organized, and presentable reception and common areas.
• Receive, sort, and distribute incoming mail, packages, and deliveries.
• Assist with office filing, recordkeeping, and general organization.
• Support ordering and inventory of office supplies, as needed.
• Maintain organization of office spaces and breakrooms.
• Reliable and regular attendance.
Administrative Support
• Provide direct administrative support to a Vice President, including calendar coordination, document preparation, and follow-up on action items.
• Assist leadership and departments with administrative tasks as needed.
• Prepare shipments and distribute internal correspondence.
• Support coordination of meetings, visitors, and office logistics.
• Handle sensitive information with discretion and professionalism.
SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION, EXPERIENCE & QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. • Proven work experience as a n Administrative Assistant, Front Office Representative, or similar role.
• Proficiency in Microsoft Office Suite.
• Multi-line switchboard experience.
• Hands-on experience with office equipment (e.g., fax machines and printers)
• Professional attitude and appearance.
• Solid written and verbal communication skills.
• Ability to be resourceful and proactive when issues arise.
• Excellent organizational skills.
• Multitasking and time-management skills, with the ability to prioritize tasks.
• Customer service attitude.

Ability to sit at computer monitor for long periods throughout the day.

May be exposed to hot and cold tempatures.
