Position Description
This posting will be used to fill a full-time, permanent position in the Department of Aging and Disabilities with Anne Arundel County. The role involves para‑professional administrative support, providing assistance to management personnel and supervising lower‑level office support employees. Personal contacts include County employees, State and Federal agencies, and non‑profit and private sector organizations. The purpose is to coordinate or carry out program assignments cooperatively while providing direct public assistance to some extent.
ExamplesOf Duties
- Compiles, organizes, reconciles, and analyzes data from various sources to maintain reports or databases on program services and activities; prepares reports of varying dimensions and complexity and maintains statistics on program information; creates and maintains files and records in support of the program.
- Analyzes, evaluates, and makes recommendations to improve the efficiency, effectiveness, and productivity of programs.
- Performs data entry using computer and applicable software applications to prepare records, documents, notices, reports, tables, and correspondence.
- Performs administrative tasks to facilitate operations, including database applications, reviewing documentation for accuracy/completeness, and preparing correspondence.
- Provides administrative and technical staff support to boards and committees, applicants, and other agencies; responds to public inquiries to define, interpret, and/or explain regulations and requirements.
- Tracks and monitors the status of client populations in support of program activities.
- Reviews work of supervised lower‑level office support employees or employees determined by calculating full‑time equivalent positions.
- Establishes and maintains files and records in support of the program.
- Performs related duties as required.
- Knowledge of the program area associated with the Department of Aging and Disabilities.
- Knowledge of County policies and procedures, supervisory principles and practices, and office methods and procedures.
- Ability to operate computers and applicable software; operate automated office equipment and other related equipment efficiently.
- Ability to obtain necessary data and information, analyze data, prepare reports, and maintain accurate filing/record systems.
- Ability to supervise office support staff and maintain effective working relationships.
- Ability to operate computer equipment and software applications related to program assignment.
- Ability to communicate effectively, both verbally and in writing.
- Ability to deal tactfully, effectively, and equitably with people.
- Ability to attend meetings or perform other assignments at locations outside the office, if necessary.
- Education:
Completion of an associate degree from an accredited college or sixty (60) college credits from an accredited college. - Experience:
Two (2) or more years of paraprofessional experience supporting a program/specialization area directly related to the assignment of the position. - Note:
Completion of an associate degree or sixty (60) college credits may be substituted for four (4) years of professional experience in a related area, for a total of six (6) years of experience.
- Preference will be given to candidates with two (2) or more years of experience in program and activity coordination for older adults in a human services environment.
- Experience working with programs funded under the Older Americans Act (OAA), including an understanding of Title III service categories and associated reporting requirements.
- Familiarity with federal and state grant data reporting standards, such as those required by the Maryland Department of Aging and the Administration for Community Living (ACL).
- Proficiency with client management or human services databases such as Apricot 360, Well Sky, SAMS, or similar systems used for data entry, reporting, and performance tracking.
- Ability to enter, review, and validate client and service data to ensure accuracy, completeness, and compliance with program guidelines.
