Position Title:
Executive Operations & Administrative Associate (Part-Time)
Status: Part-Time, Hybrid
Schedule: 16–24 hours per week
In-Office Expectation: Approximately 2 days per week up to 3 days.

Position SummaryThe Executive Operations & Administrative Associate is a trusted, behind-the-scenes partner who helps keep the League headquarters running smoothly. This is a deliberately part-time role designed for someone who enjoys meaningful work, autonomy, and variety. We’re looking for a self-starter who sees what needs to be done, enjoys staying organized, and takes pride in being the person the team can rely on.

Executive & Governance Support
- Prepare correspondence and administrative materials for the CEO and executive team, inclusive of executive correspondence and maintaining executive files.
- Support the executive office governance side of operations by managing agenda materials, reports, and meeting logistics.
- Assist with scheduling and administrative support for executive office governance-related meetings.
Office Operations & “Keeping Things Running”
- Manage day-to-day office operations and serve as a welcoming first point of contact for all members, visitors, and meeting hosting.
- Maintain office supplies, files, and internal records, including the employee handbook and internal policies.
- Coordinate mail collection, sorting, and distribution.
- Serve as the point of contact with various office vendors, building management, and service providers as needed.
Records & Organization
- Establish and maintain clear, efficient filing and records management systems.
- Serve as custodian of key administrative documents, handling sensitive and confidential information with care.
Events, Meetings & Logistics
- Provide logistical and administrative support for meetings, luncheons, and small events (on-site and local).
- Help keep executive calendars and meeting schedules running smoothly.
- Review contracts for administrative completeness prior to execution.
Special Projects & Initiative-Based Work
- Support strategic partner coordination and benefit delivery.
- Take ownership of special projects as assigned—bringing ideas, organization, and follow-through.
- Pitch in where needed to help the Executive Office operate efficiently.
Must-Haves
- Significant office management experience in administration, executive support, or operations.
- Strong customer service and a welcoming demeanor to all.
- Ability to work independently, manage priorities, and anticipate needs.
- Strong organizational skills and attention to detail.
- Clear, professional written and verbal communication skills.
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook, SharePoint).
- Valid driver’s license.
Nice-to-Haves
- Experience supporting executive leadership and elected officials.
- Familiarity with CRM platforms (e.g., Member Clicks).
