Operations Manager and Business Development

Trident Engineering, a respected forensic engineering firm based in Annapolis, MD, is seeking a highly organized and professional Administrative Project Coordinator to join our team. This full-time, in-office role is essential to the smooth operation of our projects and administrative processes. The ideal candidate will be a strong communicator with exceptional attention to detail, capable of managing a wide range of responsibilities from client communication and report editing to office coordination and project support.

Responsibilities

  • Professionally manage incoming calls and messages to foster strong client relationships and engagement. Prioritize time sensitive responses, gather information, and return calls with the highest degree of professionalism.
  • Review and triage all correspondence, including shared inboxes. Proactively read, categorize, prioritize, flag, act on, respond to, and generate related tasks to ensure prompt response and timely generation of action items.
  • Coordinate project setup and by working closely with Directors to ensure assignment to the appropriate Engineer.
  • Calculate cost estimates, retainer requirements, and generate engagement agreements for new clients.
  • Take initiative in managing office-related issues, keeping leadership updated and providing effective solutions.
  • Copyedit (proofread/format/scrutinize integrity) technical engineering reports and maintain and update report templates and other company publications.
  • Generate weekly new project report for management.
  • Provide support to and assist Engineers as needed in scheduling inspections, making travel arrangements, ordering engineering tools and having equipment repaired.
  • Regularly update and organize CVs, testimony lists, and publication records for Engineers and Associates to ensure accuracy and consistency.

Administrative Management

  • Staff the Annapolis, MD office daily Monday to Friday (8:15AM - 5:15PM)
  • Oversee general office operations, including submitting maintenance requests, shipping nonfreight packages via USPS, Fed Ex, and UPS, and ordering office supplies as needed.
  • Organize, maintain, and archive electronic and paper files/records with effective systems.
  • Work with Business Development to order business cards and marketing materials.
  • Help plan meetings and team gatherings by putting together guest lists and ordering lunch or picking up breakfast for staff.

Skills:

  • Personable and professional presence – the ability to connect with people and present a positive, welcoming attitude is crucial.
  • Strong written and verbal communication skills and the ability to build and maintain effective relationships with clients, vendors, and internal team.
  • Highly organized with meticulous attention to detail and the ability to manage multiple tasks simultaneously.
  • Ability to work independently and as part of a team.
  • Represent the company with professionalism and responsiveness in all client interactions, contributing to a positive client experience.

Qualifications:

  • 3-5 years prior project management and office management experience
  • Proficient in Microsoft 365 and Adobe Acrobat
  • Bachelor’s degree in business management or a related field is desired
  • Must pass a criminal background check
  • Be part of a creative, collaborative team
  • Work on intriguing forensic engineering projects
  • Salary negotiable $50-$60k depending on qualifications
