The Finance Assistant is responsible for providing administrative and accounting support to the Finance Department. This position assists with day-to-day financial operations, including transaction processing, record maintenance, vendor coordination, and grant-related financial reporting. The Finance Assistant ensures accuracy, timeliness, and compliance with organizational policies, nonprofit accounting standards, and funder requirements.
Essential Duties and Responsibilities- Process payments, including checks, ACH, and electronic transactions, in accordance with established procedures
- Record financial transactions in the organization’s accounting system with accuracy and appropriate account coding
- Prepare and process bank deposits and maintain supporting documentation
- Assist with accounts payable and accounts receivable functions
- Maintain organized and complete financial files and records in compliance with record retention policies
- Coordinate with vendors, including maintaining vendor records and responding to inquiries regarding payments
- Assist in tracking grant expenditures and supporting grant-related financial reporting and compliance
- Compile financial documentation and reports as requested for audits, funders, and internal review
- Adhere to internal controls, confidentiality standards, and nonprofit financial regulations
- Perform other duties as assigned to support the Finance Department
- Associate’s degree in accounting, finance, business administration, or a related field, or 4 years equivalent relevant experience
- Basic knowledge of accounting principles and financial recordkeeping
- Experience using accounting software and financial systems
- Proficiency in Microsoft Office applications, particularly Excel
- Strong attention to detail and accuracy
- Ability to manage multiple tasks, meet deadlines, and maintain organized records
- Effective written and verbal communication skills
- Experience working in a nonprofit organization
- Familiarity with grant-funded programs and grant reporting requirements
- Knowledge of nonprofit accounting standards and compliance practices
