Job Summary

The Records and Enrollment Specialist performs a variety of activities related to student records and enrollment. They assist the Associate Director of Student Records in processing student record requests and verify degree progress and applicability for most students in the College of Literature, Science, and the Arts (LSA) at the University of Michigan. As the largest college on the Ann Arbor campus, LSA serves over 19,000 undergraduate students in over 100 degree programs.

The Office of Student Academic Affairs (SAA) plays an important role in the undergraduate educational mission of LSA. Sitting within LSA's Division of Undergraduate Education (UGED), SAA serves as an advocate and support for all LSA undergraduate students. SAA provides support to students, faculty, and staff who are navigating challenging situations and in creating an inclusive learning environment. The office also provides guidance on college academic policies, manages the exception process, and oversees the academic misconduct process for LSA.

Lastly, SAA includes the degree auditing unit for the college which supports academic policy and registrar-associated functions.

Responsibilities*

The Records and Enrollment Specialist evaluates and processes student record requests such as late drops/add/edits, cross‑campus transfer applications, athletic attestations, and reactivations. You will also provide initial and final audits of academic records to ensure all university, college, and major/minor requirements are met, providing students with a clear summary of their remaining degree requirements. You will help ensure the accuracy of student records, working with the university registrar, faculty, and other staff across the college and university to resolve issues.

The successful candidate will excel in high‑volume situations that require attention to detail. You will build relationships and help train college staff on student record and academic auditing processes. You will also have an opportunity to provide feedback on auditing practices and technology use in order to improve processes and systems.

Evaluate Student Progress Toward Degree (45%)
  • Evaluate student records to assess degree progress, degree applicability, and degree completion.
  • Conduct pre‑graduation degree verifications and final degree audits.
  • Perform evaluations of LSA student‑athletes' progress toward degree completion throughout their academic career following NCAA and Big 10 benchmarks.
  • Assist with commencement book preparation for the graduation ceremony.
  • Provide feedback on processes to and implement operational changes as requested.
  • Assist with the management of the lsa.auditors email account.
  • Stay informed on current university and college policies related to degree requirements and degree completion.
Records and Enrollment Processing (45%)
  • Evaluate and process common student record/enrollment requests including term withdrawals, adds, drops, edits, swaps, and credit modifications.
  • Maintain LSA academic calendar including drop/add/edit deadlines.
  • Process grade changes according to college rules.
  • Process reactivations and cross campus transfer applications.
  • Assist with academic standing runs at the end of every term and half term.
  • Assist students and staff in understanding rules. Collaborate with campus colleagues to resolve inconsistencies and inaccuracies in student records.
  • Process exceptions to ensure that students, advisors, and staff are able to view accurate information for each student.
  • Work with the Registrar's Office and other departments to troubleshoot student record issues.
  • Assist students and staff in understanding college policies regarding these common student record processes.
  • Help manage the lsa.student.records shared email account.
